We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support our CEO. The ideal candidate will efficiently manage the CEO’s schedule, communications, travel, and various administrative and personal tasks to ensure smooth and effective day-to-day operations.

Key Responsibilities

Scheduling & Organization

  • Manage calendars, schedule appointments, and coordinate internal and external meetings.
  • Organize travel plans including flights, accommodations, and itineraries.
  • Provide timely reminders and updates for scheduled commitments.

Communication & Correspondence

  • Handle professional and personal email, phone, and postal communications.
  • Draft, review, and distribute memos, reports, and presentations.
  • Respond to routine queries and ensure prompt follow-ups.
  • Must be fluent in spoken and written English to effectively communicate with foreign offices, embassies and 3rd parties on behalf of the management.
  • Handle correspondence, schedule appointments and coordinate logistical arrangements for executive tasks involving external parties.

Administrative Support

  • Maintain accurate files, records, and databases.
  • Process invoices, track expenses, and prepare expense reports.
  • Liaise with vendors, suppliers, and external service providers.

Office Management

  • Oversee daily staff attendance, maintain accurate monthly attendance records, and report irregularities to the management.
  • Supervise cleaning staff and office support personnel (e.g., office boy) to ensure cleanliness and orderliness of the office premises.
  • Act as the first point of contact for visitors, providing courteous reception and guidance as needed.
  • Assist in day-to-day administrative tasks as required by the management to ensure smooth office operations.

Personal Errands & Household Coordination

  • Run occasional personal errands (e.g., grocery shopping, deliveries).
  • Coordinate household maintenance, staff schedules, and home services (if required).

Confidentiality & Professionalism

  • Handle sensitive and confidential information with the utmost discretion.
  • Demonstrate sound judgment and decision-making in all duties.

General Support

  • Perform miscellaneous tasks and special projects as assigned by the CEO.
  • Deliver exceptional customer service and support in all interactions.

Availability

  • Flexibility in working hours is essential—some tasks may require attention during holidays or outside regular office hours.

Requirements

Education:

  • Master’s degree preferred.

Experience:

  • Minimum 2 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.

Skills:

  • Strong written and verbal communication skills.
  • Excellent time management and organizational abilities.
  • Proficiency in Microsoft Office, Google Workspace, and productivity tools.
  • Ability to work independently with minimal supervision.
  • Problem-solving mindset and adaptability in a dynamic environment.
