As the Head of Operations and Administration at Dukan, you play a vital role in defining and executing operational strategies that align with the company's goals. With 5 to 7 years of experience in finance, operations, and administrative roles, you oversee the daily activities of the organization, ensuring efficiency and optimal performance across various departments, including Finance, HR, and Administration. You lead a team of 15 individuals, fostering a culture of collaboration and excellence while prioritizing immediate tasks and strategic initiatives assigned by the CEOs. Your ability to manage complex operational challenges, along with your financial acumen, will contribute significantly to the sustainable growth of Dukan.
Responsibilities

  • Manage and prioritize immediate tasks and strategic initiatives assigned by the CEOs, ensuring timely execution and alignment with organizational objectives.
  • Serve as a primary point of contact for cross-departmental coordination, effectively streamlining operations across Finance, Human Resources, and Administration.
  • Lead and oversee daily operations for Naseeb Online Services, Dukan E-Commerce, and Lahore New Media Labs, ensuring compliance with internal policies and industry standards.
  • Collaborate with vendors to establish procurement practices and service agreements that support operational needs and business objectives.
  • Implement policies and procedures that enhance operational efficiency, reduce costs, and safeguard organizational compliance.
  • Oversee financial operations, including budgeting, forecasting, and compliance with relevant local and international regulations.
  • Manage corporate affairs and legal matters for Dukan E-Commerce and its Singapore entity, ensuring all operations adhere to legal requirements.
  • Prepare and present comprehensive financial reports that inform executive decision-making and strategic planning.
  • Supervise various HR functions, including recruitment, payroll administration, employee relations, and performance management, to maintain an effective workforce.
  • Ensure compliance with HR policies and all applicable labor laws to foster a fair and equitable work environment.
  • Oversee administrative functions such as office management, vendor coordination, and facilities maintenance to ensure an efficient workplace.
  • Address escalated administrative issues by facilitating solutions that promote smooth workflows and minimize disruptions.
  • Manage client services related to insurance, payroll, and legal queries for outsourcing clients, ensuring exceptional service delivery.
  • Drive revenue growth by cross-selling general and health insurance products to outsourcing clients, strengthening client relationships.
  • Act as the first point of contact for escalated issues, analyzing problems and providing effective and timely solutions.
  • Support the leadership team in decision-making by offering strategic insights and recommendations based on thorough analysis.
  • Facilitate successful sales and marketing events, including job fairs and campaigns, ensuring all operational needs are effectively met.
  • Utilize various tools such as QuickBooks, Peachtree, HRMS, and Google Workspace to enhance operational effectiveness and promote a culture of continuous improvement.
  • Ensure organizational compliance with all regulatory requirements, including those stipulated by SECP and international standards.
