Job Summary
The Senior Officer Administration is a pivotal role responsible for the effective management of administrative operations within the Established Pharmaceutical Division at the Karachi Landhi Plant. This position ensures the smooth functioning of attendance systems, supports various administrative initiatives, and conducts on-site visits to production areas to verify compliance with administrative and safety standards. Reporting to the Senior Manager Administration, the Senior Officer plays a key role in maintaining organizational efficiency and fostering a safe, well-coordinated work environment.
Key Responsibilities
Maintain and oversee the Attendance System Management by ensuring data accuracy, generating detailed attendance reports, analyzing trends, and promptly resolving any attendance-related discrepancies. Regularly visit production areas to monitor compliance with Environmental, Health, and Safety (EHS) protocols as well as administrative guidelines. Identify and report any non-compliance or issues requiring attention.
Manage and coordinate administration-related projects, collaborating with cross-functional teams to ensure projects are executed efficiently and within set timelines. Prepare comprehensive reports, presentations, and data summaries to support administrative planning and decision-making processes. Actively contribute to the development and implementation of administrative strategies that enhance operational effectiveness.
Liaise with vendors for the procurement of office supplies, equipment, and services, ensuring contract records are maintained and renewals are processed in a timely manner. Oversee office and facility maintenance activities to maintain optimal working conditions and a safe environment for all employees.
Organize and coordinate internal meetings, events, and training sessions, ensuring all necessary resources and facilities are available and properly arranged. Maintain accurate records of office inventory and assets, monitor stock levels, and initiate procurement processes as required to avoid shortages.
Address employee concerns related to administrative services promptly and professionally, maintaining organized records of all administrative activities. Provide support for onboarding new employees, including workspace setup and orientation assistance. Ensure all administrative operations comply with organizational policies and prepare documentation for audit purposes when necessary.
Required Qualifications
A Bachelor’s degree is mandatory for this role, with an MBA considered a strong advantage. Candidates should have a minimum of 3 years’ experience in an administrative or office management capacity. Proficiency in MS Office Suite and attendance management software is essential. Strong communication, organizational, and problem-solving skills are required to effectively manage diverse administrative responsibilities.
