JOB RESPONSIBILITIES
Human Resource,
Perform of the recruitment process including preparation of Time Sheets, Leave record, Payroll.Distribute official communication to field staff; arrange for their signing by staff, and ensure these are sent back to Provincial Office HRO for filingProcessing of the payroll information, ensuring that all information is accurateEnsure the maintenance of an effective reporting system.Support to maintain an effective HR database and filing system, with proper files maintained for each staff member, both manually and electronically while maintaining confidentiality.Maintain a leave tracking system which allows HR to effectively manage leave for national staff as appropriateEnsure time sheets are completed and signed by all staff and forwarded to Provincial Office HRO.Support management in all administrative functions in the recruitment of staffProvide support to all managers and staff regarding staff relations and grievance and disciplinary issuesResponsible for the accurate and filling of all employee grievance/disciplinary issues and where necessaryconsult to Provincial Office HRO for support.Ensure all filing systems are updated on a regular basis;Ensure the smooth and timely dissemination of information and advice on queries related to human resource.Analyze, monitor, adapt and respond to a variety of complex internal and external queries related to HR policies, rules and regulations in order to provide guidance to managers and staff to ensure process efficiency and successful adaptation of recommended practices in alignment with wider policiesManage all insurance related issues for staffOther administrative tasks as delegated by supervisor
Admin:
Maintaining logistical files in conjunction with the Logistics Officer. Assistance in stock control consistent with MERF protocols and procedures. Manage equipment, schedules and filing of documentation. Ensure that communications equipment is maintained for all fields Ensure logistical systems and procedures are maintained and records are up to date. National Logistics Officer be responsible for paying labor and maintaining receipts and records of programme expenses as per MERF systems and procedures. Input into the weekly and monthly strips, and helping to ensure these are sent in a timely fashion. Perform other tasks assigned by the supervisor
Finance:
Make all payments from cash Keep up to date manual and electronic records of all cash and bank transactions on a daily basis Ensure prompt repayment of all advances Disburse and keep records of phone cards according to allocations Verification and reconciliation of monthly electronic accounts from the field sites for provincial office, checking all budget and account codes are correct Maintain strict finance controls in line with NGO procedures and ensure that all financial procedures carried out comply with NGO’s financial guidelines Review of all support documents (receipts, invoices, and contracts) for the provincial Office and field sites Electronic cash books and Monthly report from field sites to provincial office. Proper Filing of hard copies of the cash books from field sides to Islamabad. Cash counts of the cash boxes safe on daily basis. Keep hard copies of the signed cash counts (i.e. cash boxes safe) in field files with other hard copies. Cash counts of the cash box /safe at the end of the month and take hard copy of the cash counts signed by at least 2-person finance office and line manager (field officer, finance manager)
