We are seeking a detail-oriented and proactive Sales / Admin Assistant to support our sales team and ensure the smooth running of our sales operations. The ideal candidate will possess excellent organizational skills, a strong understanding of sales processes, and the ability to manage various tasks in a fast-paced environment.

Key Responsibilities:

  • Sales Order Processing: Assist in processing sales orders, quotes, and contracts.
  • Customer Records: Maintain and update customer records in the CRM system.
  • Email Handling: Handle incoming and outgoing emails related to sales inquiries, orders, and customer support.
  • Sales Reports: Generate and maintain detailed sales reports to track performance and sales metrics.
  • Complaints/Refunds: Manage complaints and refunds reports, ensuring timely follow-up and resolution.
  • Customer Service Support: Monitor and manage the inboxes of Customer Service Representatives (CSRs) to ensure prompt responses and efficient communication.
  • Chats/Calls Handling: Oversee CSR’s handling of chats and calls, ensuring that all customer interactions are recorded properly and followed up as needed.
  • Order Processing: Track orders from initial chat interaction through to shipment, ensuring all processes run smoothly.
  • Invoice Verification: Check and verify invoices in detail, ensuring all charges are accurate and match the orders.
  • Order Specification Matching: Verify that the order specifications are in line with customer requirements and match the details on the invoice.
  • Coordination with Production Team: Collaborate closely with the production team to ensure accurate order fulfillment, manage inventory levels, and resolve any production issues.

Requirements:

  • High school diploma or equivalent; a degree in business or related field is a plus.
  • Proven experience as a Sales Assistant, Admin Assistant, or in a similar administrative role.
  • Strong knowledge of MS Office (Excel, Word, PowerPoint), and experience with CRM software.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize and manage multiple tasks simultaneously.
  • Strong attention to detail and problem-solving skills.
  • Ability to work well in a team environment.
  • Prior experience with handling customer service inquiries, order processing, and sales reports is a plus.
