This full-time remote role involves providing administrative and excutive assistance to the practice owner and clinic staff. The ideal candidate is highly organized, fluent in English, and comfortable working UK business hours (approximately 9am–5pm UK time). You will act as a liaison between the UK office and the remote team, ensuring smooth day-to-day operations.
Key Responsibilities:
Manage email inboxes and correspondence on behalf of the optometry practice – responding to patient inquiries and supplier emails with a professional tone.
Maintain and coordinate schedules, appointments, and meetings (both patient appointments and the practice owner’s calendar). Send timely reminders and ensure no scheduling conflicts.
Conduct internet research and compile information as needed (e.g. researching new optical products, gathering patient feedback surveys, etc.) to assist in decision-making.
Coordinate projects and tasks – for example, help organize marketing campaigns or community outreach events, working with other team members to track progress.
Manage the practice’s social media and website updates, under guidance. This includes posting eye care tips or clinic updates on social channels and monitoring online queries.
Assist with document preparation and data entry – updating patient records, transcribing meeting notes, editing documents, and maintaining digital filing systems.
Arrange travel or logistics as required (e.g. booking conferences or training sessions for the optometrist, scheduling courier pickups for documents or supplies).
Perform light bookkeeping support if needed – such as recording petty cash expenses or generating simple invoices – to aid the main accountant.
Qualifications and Skills:
Excellent English communication skills (written and spoken) able to correspond with UK-based patients and partners confidently.
Bachelor’s degree or equivalent experience in business administration or a related field.
Proven experience as a Virtual Assistant or Personal Assistant, preferably for an international client or executive.
Strong organizational and time-management skills; ability to multi-task and prioritize work.
Tech-savvy: proficiency with MS Office (Word, Excel, Outlook), calendar management tools, and videoconferencing (Zoom/Teams). Experience with project management tools or EHR (electronic health record) systems is a plus.
Availability on UK working hours (e.g. 2pm to 10pm Pakistan time) and reliable internet/power connection for a full 8-hour shift.
Trustworthy and able to handle confidential information with discretion (you will deal with sensitive patient and business data).
A proactive attitude, attention to detail, and willingness to learn about optometry practice operations.
