Responsibilities:
ü Knowledge of office administrator responsibilities, systems and procedures
ü Proven experience as an Office manager, Front office manager or Administrative
ü Monitor achievement of sales objectives and key performance indicators.
ü Review and track daily sales reports
ü Prepare monthly sales summaries and reports
ü Follow up on customer calls and complaints
ü Compile internal and external customer communications
ü Control expenses and prepare expense reports
ü Assist with preparation and tracking of annual budget
ü Integrate multiple data bases
ü Liaise with finance, warehousing, distribution and other departments
ü supervise and develop 2 sales support staff members
ü Maintain the office condition and arrange necessary repairs
ü Attention to detail and problem solving skills
ü Proficiency in MS Office (MS Excel and MS Outlook, in particular)
ü Office management Course; additional qualification as an Administrative
Responsibilities:
ü Answering the phone and taking phone orders from customers
ü Contacting customers if an item is out of stock to determine a resolution
ü Answering questions customers may have regarding our products and usage
ü Addressing problems with orders and customer complaints
ü Following up with customers after orders to determine their satisfaction with the order
ü making sure our fulfillment partners are processed orders correctly
ü Running shipping reports for customers to receive shipment notifications
ü Submitting credit requests with our fulfillment partners if orders are fulfilled improperly or we are charged improperly
ü Addressing potential fraudulent orders and dealing with charge backs
ü Additional support tasks as required.
Responsibilities:
ü Organizes item orders by editing for price, promotions, weight compliance.
ü Arranges shipments by checking stock to determine inventory levels; anticipating delivery requirements; placing and expediting orders.
ü Ships items by examining items, destination, route, rate, delivery time; ordering carriers.
ü Verifies items shipped by matching bills of lading; reconciling quantities; noting discrepancies.
ü Keeps customers informed by forwarding notice of item availability, shipment date and method, and current status; answering questions.
ü Replaces damaged items, shortages, and misshipments by determining optimal response of replacement or credit.
ü Protects organization reputation by keeping pricing, promotion, purchase order, and credit-limit information confidential.
