Duties and Responsibilities:
· Ensure the efficient and effective operation of the hospital's administrative functions.
· Manage and oversee all operational activities within the hospital.
· Address patient complaints and concerns related to hospital facilities and services.
· Facilitate resolutions for issues and complaints, including those from various hospital departments.
· Collaborate with various hospital departments, including Pharmacy, Safety and Security, Transport, NFSD, General Store, Housekeeping, Maintenance, Biomedical, EPI, Lab, Nursing, Reception, and Information Technology, to ensure seamless operations.
· Organize and coordinate seminars, workshops, and meetings held within the hospital.
· Ensure the successful execution of these events in alignment with the hospital's objectives.
· Establish and maintain communication with government health departments, local administration, and enforcement agencies.
· Coordinate with the CEO health office on various programs, including TB, Covid vaccines, Hepatitis, Dengue, and EPI.
· Generate clinical and non-clinical reports as required by hospital management and share them with IHHN regional and Head offices.
· Collaborate with internal and third-party audit teams for audit purposes.
· Address staff and patient grievances related to food supply and quality, ensuring timely resolution.
· Monitor and enforce the hospital's specified dress code.
· Manage various emergencies, including incidents like theft and medical emergencies.
· Implement appropriate emergency protocols and responses.
· Ensure professional management of all non-clinical units, defining scopes, TORs, and KPIs.
· Manage administrative stock requisitions and control stock issuance to minimize wastage.
· Act as a liaison between the public and hospital management.
· Handle public inquiries and concerns professionally.
· Manage petty cash for administrative purchases and maintain accurate records.
· Monitor budgets and address queries related to company assets.
· Oversee cleanliness checklists, ensuring timely completion by staff.
· Monitor and enforce IHHN policies and procedures in both clinical and non-clinical departments.
· Assist the Head of Campus with daily tasks and coordinate with internal and external departments.
· Arrange and monitor meetings for governing committees within the hospital.
· Monitor both incoming and outgoing correspondence.
· Manage printing tasks related to hospital documentation.
· Supervise administrative staff, including the preparation of work schedules.
· Monitor staff attendance and ensure compliance with hospital policies.
· Act as a secretary and member for various hospital committees, including the Senior Management Committee, Medical Record Committee, HoD Committee, ICC, Waste Management, CEC, and CQI, among others.
· Supervise the Reception Department and ensure its efficient operation.
· Act as the focal person for the Sehat Sahulat Program.
· Coordinate with all relevant departments for audits by the Punjab Health Care Commission.
· Be a member of the core committee for visits by PHCC, Monitoring & Evaluation teams from the Government of Punjab, and other external parties visiting the hospital.

· To Liaise with Govt.Dep like (PESSI, EOBI, Labour Dept., PESCO, EPA Dept., Police, Bank, Anti-Narcotics and PTCL department etc.
· To maintain staff attendance, leaves records, employees file and make monthly salary and staff overtime.
· Manage daily activities of housekeeping to ensure smooth handling of all issues i.e appropriate cleaning of the entire premises.
· Responsible for Company Vehicles for Periodic Maintenances, Emergency Repairs and to check log book.
· Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
· Monitor the all-security matters and physically check the project area or by CCTV.
· Develop and implement safety procedures for those working with potentially dangerous chemicals.

· Manage Inventory control policies and procedures. Review, choose and execute technical store management system solution for all locations.
· Administer and monitor the goods in & out according to IGP & OGP with accurate quantity and ensure the record of returnable goods.
· Supervise all security matters and cross check of gate in & out record of security.
· Administer, handling the petty cash system and ensure appropriate record keeping.
· Supervise and monitor daily attendance of project staff. Analysis of the attendance, Punctuality & Leave management record.
· To check the payroll and distribution staff salary, (Bank and by Cash), Administer and monitor the project staff loans and advances payments and back report to head office.
· Administer personnel files, Retirement, Termination, dues file and records. To ensure the Clearance & accurate payments of benefits and allowances.
· Dealing and manage the accurate payment of utilities bill within due dates (WAPDA, PTCL, PESSI, EOBI, Labour department and banking matters etc.)
· Attend the any type of official guest from the government & Private department and responsible for all external matters or project.
· Mess and accommodation management to ensure good cleaning and furnished.
· Arrange hospitality, local purchase as per necessary or policy to ensure the smooth running of the organization on a day to day or as required basis.
· Provide administrative support for matters relating to the premises and operations including security and transport according to company policy.
· Assist with the surprise/annual audit of project and to secure the assets of project.
· To coordinate with Company Civil department for building maintenance, repairing, Ground maintenance that affects building operation.
· Cross check of generators maintenance, Fuel demand, cleaning, and safety measures in order and verify the changing parts (all type of filters, fuel consumption, maintenance record sheet etc.)
· Maintain close links and inform the Senior Management of all issues likely to affect the operation of Project.
· Responsible for check vehicle’s log book and routine maintenance.
· Preparation of plan and tools for any emergency of disaster like (Fire, Work Accident)
· Responsible for receiving, sending mails and correspondence to concerning departments or offices.
· Diplomatically built up the good relationship with the neighbors and local peoples to achieving the solutions of particular issues locally.

· To fully involve the site activities like supervision of manufacturing and laying of RCC Pipe 12’’ Dia to 72’’ Dia and laying of GRP pipe.
· To supervise the construction work of manhole, disposal station, lift station, Generator Room, Family Quarter and Treatment Plants etc.
