About the Job:
• Looks at own the needs of supplies in storeroom and responsible for the procurement of such office supplies, housekeeping supplies, automation supplies, automotive supplies etc. Reports monthly to the director the status.
• Also anticipates in advance when additional supplies are needed.
• For Expendable supplies keeps the record of office supplies, housekeeping supplies and shipping supplies and issues to staff on request and enters them in ledger such as Excel.
• After approval, makes cash payments for telephone, electric and water bills for the Office.
• Maintains and reconciles utility bills before initiating payments, getting payment approval and advising the Senior staff of discrepancies and other problems.
• Maintains courier documents (Airway bills and invoices/receipts) for materials couriered by the office. After ensuring that the goods are received in good condition at destination points, processes the bills for payments to the various courier companies.
• Maintains railway and roadway clearance papers, ensuring that shipments received from outstation dealers are cleared in a timely fashion to avoid demur-rage charges. After receiving goods, maintains file of all papers.
• Ensures all office equipment and furniture is maintained in excellent working condition, by regular preventive maintenance and service, calling outside experts in extraordinary problems.
• Administers the imprest fund as the Class-B Cashier.
• Prepares replenishment vouchers on a regular basis. Seeks the future needs of the office., prepares a wish list for the Director's approval
