Fleet Management: ensure timely maintenance of fleet nationwide via work order / payment of annual taxes / renewal of insurance policy / issuance of fleet card (Shell & PSO) /disposal of vehicle as per company policy and purchase of vehicle via CAPEX.
Travel & Accommodation: timely arrangement of visa / air ticket / hotel & rent a card as per business need.
Event Management: ensure timely arrangement of company events which comprises of Cycle meeting for sales team nationwide on monthly /negotiating rates with hotel and finalizing venue / menu and timely issuance of purchase order via Procurement.
Housekeeping: supervise team and ensure the cleaning / tidiness of entire Head office and upto the required standard.
Courier Management: supervise / review & approve monthly dispatches of consignments for domestic / international as per business needs.
Payment via PO: review / approved received invoices pertain to admin and ensure PO is released before every service in order to avoid non-compliance as per Mondelez Global policy.
Miscellaneous tasks: raise PR in SAP pertains to Administration dept. for PO purpose / submission of accruals / ensure pantry, stationary & cleaning items are timely procured on monthly / quarterly basis / routine day to day administrative issues.
• Admin Operations: supervise overall administrative operations at Head Office, which comprises of Housekeeping, travel & accommodation (local/international) & visa arrangements. Pantry, Cleaning & table stationery, courier management / printing of visiting cards & letter head/ issuance of SIM & mobile phone as per grade entitlement. Repair & maintenance of office equipment which comprises of genset/ AC units / photocopier and petty cash.
• Security Matters: ensure timely placement of guard / front desk team at head office / finalization of escort & security guard for MD & Directors / ensure all security cameras are properly functioning for entire Corporate office.
• Contract Management: ensure timely renewal of all contracts pertains to Administration.
• Fleet Management: obtaining quotes for new vehicle for Senior Management, timely maintenance of vehicles via 3S vendors, accidental/ stolen matters via insurance company and disposal of vehicles via advertisement and fuel matters.
• Disposal of scrap: liaise with Factory Admin / placement of advertisement via Media dept / receive seal bids and assist committee in the process till finalization.
• Streamline & restructuring of Admin operations: design & implement policies/ JDs for Admin team based at Corporate office. Utilized internal resources for various tasks which reduce operational cost for Head office.
• Facilitation internal teams: assist HR team in venue hunting for training & development nationwide / orientation of new joiners at Corporate Office / handing & taking over of company goods with employee as per HR instruction / shortlisting & finalization of support staffers for Sr. Management/ ensure F&F settlement forms are timely shared with the relevant concerns at head office & HR dept.
Provide support to Sales & Marketing department for all the administrative arrangements for product launch which comprises of travel arrangements for internal & external team negotiating rates with hotel for venue
• Administrative Support: Manage & organized, office administration to comply with the corporate requirements which includes housekeeping of entire office premises / handle petty cash / ordering pantry / cleaning & stationery items on monthly basis / payment of premises rental on per annum basis / payment of bills / travel & accommodation (domestic) / Security & HSE matters.
• HR Operations: Recruitment / Selection & Finalization via placement offices / internal references & CVs received via other resources / share recruitment MIS with US office on monthly basis. Prepare & share Induction plan / Exit interviews / handle grievances of staffers.
• Maintain & Manage attendance & leave record and share the details with accounts for payroll purpose. Maintain personal files for employees. Coordinate US Office for arranging online trainings on need basis.
• Renovation & Civil works: Worked with Planner, Architect and contractor team to ensure quality standards for the planned office space. Keep track of milestones and deadlines. Also worked with Sr. Engineers for designing & implementation of datacenter.
• Purchasing: procure various items for Pakistan office as per global standard of Tellabs, which comprises of AC units / office furniture / laptops / printers / IT equipment / datacenter racks
Job Responsibilities:
Recruitment & Selection: assist (SMT) Senior Management Team in effective recruitment via advertisement / head hunters /placement offices / internal references / negotiation as per existing budget against headcount / background investigation /placing job offer & orientation of staffers.
Administrative Support: issuance of confirmation letter after probation / renewal of employee contracts, separation, update management handbook, organizational chart, headcount report / staffers database, personal files.
Leave & Attendance: maintain & manage attendance & leave record for all OUP permanent & contractual staffers and share detail with accounts for monthly payroll purpose.
Annual Appraisal: assist SMT (Senior Management team) in the annual appraisal for OUP Pakistan
Grievances & Disciplinary Requirements: handle grievances with the relevant head of the dept or Sr. Manager and ensure disciplinary requirements were maintained as per policy.
HR Audit: share required details with internal / external auditors which comprises of F&F settlements, headcount report / compensation & benefits / training budget.
HR Operations: coordinate with Administration team for timely arrangement of fuel card / health card & vehicle as per grade entitlement and business need.
Employee Facilitation: build & maintained a strong relationship with department Head / Managers and staffers to ensure that HR is a valuable business partner
