Driver/supervisor USAid Pakistann Responsibilities Ensure provision of reliable and secure driving services by a) driving office vehicles for the transport of authorized personnel and delivery and collection of mail, documents and other items and b) meeting official personnel and visitors at the airport, visa and customs formalities arrangement, when required.Ensure cost-savings through proper use of vehicle through accurate maintenance of daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports.Ensure proper day-to-day maintenance and log of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes, car washing, etc.Ensure availability of all the required documents/supplies including vehicle insurance, vehicle logs, office directory, and map of the city/country, first aid kit, and necessary spare parts.Ensure that all immediate actions required by rules and regulations are taken in case of involvement in accidents.Responsible for safe travel and comfort of passengers.Log official trips, daily mileage, fuel consumption, oil changes, greasing etc.Perform any other duties like supervisor as required.I have done the following duties over my profesional career .1. Manage the reception area to ensure effective telephone and mail communications both internally and externally during office hours to maintain professional image of the officen2. Monitor all visitors to the office assistance to visitors by providing directions and accurate information and direct them to the appropriate Unit/officern3. Operate and manage the telephone switchboard and fax machine in accordance with appropriate protocol and weekly check and test all telephone linesnnn4. Set up, update and maintain the important contacts in UNESCO HQs , Regional Offices, the UN Agencies telephone directory, the contacts of UNESCO Government keys Partners , relevant I/NGOs , Embassies/Consuls and other important contactsn5. Administer personal telephone calls (PTCL, Mobile, and Satellite) and prepare and send cost-recovery bills to official telephone users to identify their personal calls and refund the amountn6. Ensure provision of effective mail management focusing on receipt, registration, stamping and forwarding of incoming faxes, letters and other correspondence to concerned unit/officern7. Register and dispatch of the outgoing communications including letters, pouches, distribution material and other correspondence and follow-up distribution. Prepares the summary of enclosure forms and necessary documents and maintains the file on pouches, incoming and outgoing mails for record and verificationn8. Prepare payment requests for all utilities including postage services bills and keep proper record to verify invoices for payment of pouch services, Courier services and telephone services 9. Perform any other duties as required or assigned by the Director or / and the Administrative Officer.
