Ø Responsibilities including:
ü Diary management – outlook experience essential.
ü Booking meetings/appointments.
ü Business travel – booking flights, hotels, car hire, valet parking etc.
ü Organising visas.
ü Maintaining MD’s travel log.
ü Maintaining MD’s planner.Reconciling monthly expenses.
ü Check report for staff sickness/holiday is correct-daily update of sickness absence report.
ü Fielding calls for MD & taking messages.
ü HR Administration – contracts/offer letters, relevant paperwork, maintaining personnel files. Liaise with outsourced HR dept. on any disciplinary occurrences.
ü Organising food/refreshments for business lunches.
ü Doing duties of Receptionist- mainly absence report and incoming/outgoing post and Boardroom bookings.
ü Managing office and window cleaners and cleaning contracts.
ü Managing landscapers/gardeners contract.
ü Carrying out research for particular projects as requested by MD/Director.
ü Organising corporate & staff events.
ü Taking minutes at various management meetings & typing up minutes.
ü Organising interviews & some time taking interview on the behalf of MD/ Director.
ü Purchasing various items for MD and staff as and when required.
ü Paying personal bills through accounts department for MD.
ü Organising medical/dental appointments.
ü Organising MD’s personal/family cars – servicing, repairs etc.
ü Assisting MD with personal holiday/events.
ü Process Director’s correspondence, ensuring that incoming correspondence is dealt with by the Director/or on behalf of the Director.
ü Greet clients and visitors with a positive, helpful attitude.
ü Assisting clients in finding their way around the office.
ü Answering, forwarding, and screening phone calls.
ü Receive deliveries; sort and distribute incoming mail.
ü Maintain the general office filing system.
ü Operate standard office equipment on a regular basis, including a Type writer, a copy machine, printer and a computer.
ü Direct visitors to wait in the lobby while notifying attorneys and legal staff of the visitor’s arrival.
Ø Responsibilities including:
ü Maintenance of service quality indicators of branch, data reconciling & sharing to Head Office monthly.
ü Account opening end to end procedure.
ü Customer dealing and responsible for customer query resolution.
ü Account Maintenance letter and statement issuance.
ü Portfolio calling for, dormant account activation, account deepening and cross sale.
ü Making sure covid protocols are as per required standards on daily basis.
ü Branch ambiance is maintained and any issues need resolution within 48hrs max.
