Purpose:

The purpose of the Admin Coordinator position is to provide comprehensive administrative and logistical support to ensure the efficient and effective functioning of the Head Office and field operations. The role is responsible for organizing events, coordinating with vendors, managing field visit logistics, maintaining compliance processes, supporting budget preparation, overseeing asset and insurance management, and ensuring proper documentation and record-keeping. The Admin Coordinator acts as a central point of contact for administrative tasks, contributing to smooth project implementation and overall operational excellence at RIZ Consulting.

Major Responsibilities:

  • Provide logistics support to the staff at HO and countrywide field offices for all projects effectively.
  • Will be responsible for organizing workshops/ seminars/events/ conferences and meetings for the head office and projects efficiently and report to the supervisor accordingly.
  • Will be responsible for managing all field admin-related activities during field monitoring visits.
  • Will be responsible for coordinating with vendors/partners/departments for reconciling invoices/bills and supporting documents as per SOPs before submission to the finance for the payment process.
  • Ensure and support the Admin Department in the completion of the compliance process of the Admin Department.
  • Support line manager in making budgets of special events/ workshops before initiating the process for bookings etc.
  • Organize the transportation of material, equipment, and personnel to the field as and when required.
  • Will be responsible to liaising with vendors for booking of vehicles/ hotel/ air travel and other services effectively.
  • Assisting Line Manager in obtaining and keeping records of NOCs from different authorities as and when required.
  • Assisting line manager in supervision & delegation of admin support staff.
  • Assist in managing the assets of all projects of RIZ Consulting according to RIZ Consulting Policy.
  • Coordinate with the Insurance company for insurance of all assets.
  • Contributes to team efforts by accomplishing related tasks as needed.
  • Maintain and update company databases.
  • Organize a filing system for important and confidential office documents.
  • Other tasks or duties as requested by the Supervisor.
