Key Responsibilities:

  1. Facilities Management & Maintenance:
    • Oversee the overall cleanliness, maintenance, and upkeep of the entire showroom, offices, restrooms, and storage areas.
    • Directly supervise and manage the janitorial staff, assigning duties, monitoring performance, and ensuring consistent adherence to high hygiene and cleanliness standards.
    • Conduct regular, thorough checks of all showroom cleaning to ensure it meets our premium presentation standards before opening and throughout the day.
    • Coordinate and manage all repairs, maintenance, and renovation projects for the premises and equipment (e.g., air conditioning, lighting, plumbing, furniture).
    • Ensure the showroom's infrastructure is well-maintained and functional.
  2. Office & Showroom Administration:
    • Manage the procurement and inventory of all office supplies, stationery, and general administrative materials, ensuring adequate stock levels.
    • Oversee the efficient operation of office equipment (e.g., printers, scanners, telephones) and coordinate necessary servicing.
    • Manage incoming and outgoing correspondence, mail, and deliveries.
    • Maintain an organized and efficient administrative filing system (both physical and digital).
  3. Vendor Management:
    • Identify, evaluate, and manage relationships with external vendors for administrative services (e.g., cleaning services, security, maintenance contractors, utility providers).
    • Negotiate contracts, ensure service level agreements are met, and process vendor invoices.
  4. Budget Management:
    • Assist in preparing and managing the administrative department's budget.
    • Monitor and control administrative expenses, identifying cost-saving opportunities without compromising quality.
  5. Health, Safety & Security:
    • Ensure compliance with all health, safety, and security regulations within the premises.
    • Implement and oversee security procedures and access control.
    • Manage fire safety equipment and ensure regular drills and inspections.
  6. Administrative Support:
    • Provide general administrative support to various departments (e.g., HR, Sales, Accounts) as needed, including scheduling meetings, preparing documents, and arranging travel (if applicable).
    • Manage visitor reception and ensure a professional welcoming environment.
  7. Compliance:
    • Ensure adherence to company administrative policies and procedures.
