The CEO Secretary plays a pivotal role at Waresa Group, serving as the primary support for the Chief Executive Officer. This position requires an individual who is exceptionally organized, possesses excellent communication skills, and can manage multiple tasks efficiently. The CEO Secretary will handle various administrative duties, ensuring seamless operations within the office environment. The individual will coordinate schedules, manage confidential information, and assist in project management, which is crucial for the strategic initiatives of Waresa Group. While this role does not involve managing a team, it requires a high level of professionalism, discretion, and the ability to work independently while providing significant support to the executive leadership.

Responsibilities

  • Manage the CEO's calendar by scheduling appointments, meetings, and travel arrangements effectively, while ensuring no conflicts arise.
  • Prepare and organize documents for meetings, ensuring that the CEO is well-informed and prepared for discussions with internal and external stakeholders.
  • Handle communication on behalf of the CEO, including drafting and responding to emails, phone calls, and other correspondence professionally and promptly.
  • Maintain a filing system that is organized and accessible, ensuring that all documents are accurately filed and easily retrievable when needed.
  • Coordinate travel logistics, including booking flights, accommodations, and transportation, to ensure smooth travel experiences.
  • Assist in event planning by organizing meetings, conferences, and corporate functions, ensuring all logistical details are meticulously arranged.
  • Support project management initiatives by tracking progress, preparing reports, and facilitating communication between departments as needed.
  • Act as a liaison between the CEO and other executives, staff, and external partners, maintaining confidentiality and professionalism at all times.
  • Utilize Microsoft Office Suite and other project management tools to create presentations, reports, and executive summaries that effectively communicate key information.
  • Prioritize tasks to meet deadlines and respond to urgent requests quickly, showcasing strong time management capabilities.
