Purpose: Provide dedicated support to senior management, ensuring their time is optimized and administrative tasks are efficiently managed.

Key Responsibilities:

Diary and Schedule Management:

  • Organize meetings, appointments, and events.
  • Maintain the manager’s calendar and prioritize tasks.

Communication:

  • Act as a first point of contact for calls, emails, and correspondence.
  • Draft, proofread, and send professional communication on behalf of the manager.

Task Coordination:

  • Manage personal and professional errands.
  • Coordinate travel arrangements, accommodations, and itineraries.

Documentation and Filing:

  • Prepare reports, presentations, and proposals.
  • Maintain accurate records and organize files systematically.

Liaison Role:

  • Communicate with contractors, clients, and internal teams to facilitate smooth operations.
  • Ensure timely follow-ups on critical tasks and deadlines.

Other Duties:

  • Handle confidential information with discretion.
  • Provide ad hoc support as needed to ensure smooth workflow.

Skills and Qualifications:

  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in office software (e.g., MS Office Suite).
  • Ability to multitask and work under pressure.
  • Prior experience as a PA or in a related role in construction is preferred.
