The Head of Admin is a crucial leadership role at Ascend Consulting, responsible for the comprehensive oversight and administration of the General Services Department. This position is instrumental in aligning departmental operations with the organization's mission and strategic objectives. The incumbent leads a team of five, ensuring that all functions, including budgeting, procurement, vendor management, safety and security, insurance, and facility management, operate smoothly and effectively. The ideal candidate will have extensive experience in project management and vendor relations, alongside a solid understanding of facilities engineering and architecture. This role demands strong organizational skills and an ability to communicate and negotiate effectively, influencing favorable outcomes for the organization.

Responsibilities

  • Oversee and ensure the seamless operations of all General Services Department units, integrating them with the organization's goals and strategies.
  • Develop and implement comprehensive policies and procedures aligned with industry best practices and organizational standards.
  • Monitor the insurance coverage of all bank assets and manage claims arrangements with Takaful and insurance companies.
  • Cultivate and maintain strong working relationships with local law enforcement and relevant government agencies to ensure compliance and safety.
  • Optimize the utilization of all bank resources, including vehicles and support staff, for maximum efficiency and productivity.
  • Supervise all civil, architectural, mechanical, electrical, and maintenance projects on bank premises to ensure cost efficiency.
  • Collaborate closely with departmental heads to support the implementation of the bank's business plan, including branch expansion and relocation.
  • Oversee contractor payments, ensuring alignment with approvals and actual work completed, while maintaining accurate project tracking.
  • Implement effective safety and security measures for all buildings and assets, ensuring the protection of employees and stakeholders.
  • Initiate cost control measures and explore alternative energy solutions, developing policies that promote cost efficiency.
  • Gather and disseminate information on security conditions, proposing measures to mitigate risks and avert incidents.
  • Manage protocol arrangements for senior management, ensuring all travel and accommodation logistics are handled efficiently.
  • Exercise oversight over all procurement activities, ensuring accountability, integrity, and compliance with bank policies and procedures.
  • Monitor and rationalize expense claims submitted from various departments while providing insights for cost reduction.
  • Review and recommend projects for the Purchase Committee ensuring they meet the organization's procurement standards.
  • Promote professional excellence by maintaining departmental discipline and work ethics, while training and motivating staff for better productivity.
