Key Responsibilities:

Answering and directing phone calls:

  • Professionally answer all incoming calls, transferring them to the appropriate staff member or taking necessary messages.

Greeting visitors:

  • Welcoming guests upon arrival, directing them to the correct location, and managing appointment schedules.

Maintaining reception area:

  • Keeping the reception area clean, organized, and well-stocked with necessary supplies.

Basic administrative tasks:

  • Managing mail distribution, taking and relaying messages, making copies, filing documents, and data entry.

Telephone system management:

  • Operating the office phone system, managing voicemail messages, and transferring calls efficiently.

Customer service:

  • Providing friendly and helpful assistance to visitors and callers, addressing inquiries and concerns professionally.

Basic computer proficiency:

  • Familiarity with office software such as Microsoft Office (Word, Excel, Outlook) to manage administrative tasks.

Telephone etiquette:

  • Proper phone mannerisms, including clear pronunciation and active listening skills.
