Key Responsibilities
Collaborate closely with the Chief Technology Officer (CTO) and the first assistant to manage a dynamic and evolving calendar. Coordinate detailed domestic and international travel arrangements, ensuring all logistics are handled efficiently. Track expenses and prepare comprehensive reports for the CTO using Concur. Maintain an organized system for managing important correspondence and support smooth internal workflows. Act as a central liaison among clients, partners, vendors, and internal teams to keep key initiatives on track and communication clear. Conduct research, prioritize tasks, follow up on incoming and upcoming assignments, and determine appropriate courses of action. Propose and implement process improvements to enhance workflow efficiency. Assist in planning and managing events such as team-building off-sites, workshops, and board meetings. Provide support with personal tasks as needed to ensure the CTO’s time is optimized.
Required Qualifications
A minimum of three years’ professional experience supporting C-level executives, ideally within entrepreneurial or start-up environments. A bachelor’s degree is required. Exceptional organizational skills with the ability to manage and prioritize multiple tasks seamlessly, demonstrating strong attention to detail. Excellent written and verbal communication skills paired with a professional demeanor suitable for interacting with executives, clients, partners, and colleagues at all levels. A positive, proactive attitude with a solution-oriented mindset; comfortable asking questions and proposing changes. Proficiency in Outlook, Microsoft Office Suite, Adobe, Slack, and Concur, with the ability to troubleshoot technical issues independently. Demonstrated ability to work autonomously with high self-initiative. Proven discretion in handling confidential and sensitive information. A team-oriented approach, willing to assist others and seek support when necessary.
