Ideal candidate must possess the ability to perform all the below-mentioned tasks:
Greetings and Welcoming Visitors:
- Welcome and assist visitors, guests, and clients in a friendly and professional manner.
- Ensure a positive first impression by offering refreshments, providing information, and directing them to the appropriate personnel or location.
Answering and Managing Calls:
- Handle incoming phone calls, take messages, and direct calls to the appropriate departments or individuals.
- Maintain a polite and helpful phone etiquette.
Managing the Reception Area:
- Keep the reception area clean and organized.
- Ensure magazines, brochures, and relevant materials are available for visitors.
Appointment Scheduling:
- Schedule appointments and meetings for clients and staff.
- Maintain a calendar or booking system for conference rooms or facilities.
Administrative Support:
- Assist with various administrative tasks such as data entry, photocopying, and filing.
- Manage and distribute incoming and outgoing mail or packages.
Security and Access Control:
- Monitor access to the building, ensuring only authorized personnel or visitors are allowed entry.
- Issue visitor badges or access cards as required.
Customer Service:
- Address inquiries and provide information to visitors and callers.
- Handle complaints and ensure a high level of customer satisfaction.
Maintaining Records:
- Maintain visitor logs and other relevant records.
- Prepare reports on front desk activities as needed.
Coordinating with Other Departments:
- Communicate and collaborate with various departments to ensure efficient handling of tasks and visitor needs.
