We are a UK-based optical practice seeking a dependable and detail-oriented Virtual Assistant - Patient Coordination based in the Philippines to manage patient communications, appointment scheduling, and payment follow-ups. This role is critical to ensuring smooth clinic operations and excellent patient care.
Key Responsibilities:
Patient Scheduling:
Call existing patients to schedule routine/annual/bi-annual eye exams.
Manage appointment bookings using our CRM system, ensuring the diary is up to date.
Payment Follow-Ups:
Contact patients with outstanding balances for glasses/services and arrange payments.
Track collected payments and update records in spreadsheets.
Administrative Support:
Maintain accurate records of patient interactions, appointments, and payments.
Assist with other basic admin tasks as needed.
Qualifications:
Essential:
Fluent in English (spoken and written) with a professional phone manner.
Strong organizational skills and attention to detail.
Proficiency in CRM systems and basic Excel/Google Sheets.
Preferred:
Prior experience in customer service, healthcare administration, or virtual assistance.
Familiarity with optical/medical terminology is a plus.
