Job Summary
We are seeking a detail-oriented and proactive Finance and Administration Officer to support our project operations across multiple offices. The ideal candidate will coordinate financial forecasting, manage daily expense recording, oversee cash and bank transactions, and ensure compliance with organizational policies. This role also involves procurement, asset management, HR and IT coordination, and logistical support to maintain smooth office operations. Strong communication, leadership, and problem-solving skills are essential to succeed in this dynamic position.

Key Responsibilities
- Collaborate with project teams to prepare accurate monthly fund forecasts, ensuring alignment with project budgets and timelines.
- Coordinate with project staff to execute operational activities efficiently within agreed deadlines.
- Classify, allocate, and record daily expenses in the ERP system according to established Standard Operating Procedures (SOPs).
- Manage all cash and bank payments for associated offices, including preparing monthly cash and bank reconciliation reports.
- Maintain petty cash funds and cashbooks, ensuring accurate and timely updates.
- Handle tax-related activities such as deductions, payments, and submission of tax statements in compliance with current regulations.
- Prepare and process salary payments for short-term and part-time staff based on contractual agreements.
- Review advances and payables, process relevant documentation, and ensure timely settlement of payments.
- Execute procurement activities in line with program requirements and organizational policies, including preparing and updating procurement plans.
- Arrange meetings, workshops, and events as required by various projects.
- Process advances, travel claims, overtime, and mobile entitlements, maintaining proper documentation.
- Maintain comprehensive records and manage all office assets, including acquisition, movement, disposal, and verification.
- Ensure proper functioning and maintenance of office equipment such as computers, laptops, printers, and scanners, while upholding office decorum, security, and cleanliness.
- Keep detailed records of office inventory and supervise support and service staff across related offices.
- Serve as the primary contact for HR and IT matters, possessing hands-on knowledge of IT equipment operations, installations, basic networking, and device sharing.
- Prepare biometric attendance reports, leave records, and other staff-related documentation.
- Manage logistics including office vehicles and bikes, and prepare monthly vehicle monitoring reports.
- Ensure strict compliance with Finance, Administration, and IT SOPs across all related offices.

Required Qualifications
- Proven experience operating accounting software and ERP systems, preferably Odoo.
- Solid understanding of contemporary taxation rules, with practical experience handling withholding tax matters.
- Strong personnel management and leadership skills.
- Excellent problem-solving abilities and a results-driven mindset.
- Proficiency in English, including reading, writing, and speaking.
- Advanced computer skills, including MS Office applications.
- Effective interpersonal and communication skills to liaise with diverse teams and stakeholders.
