Job Summary
We are seeking a highly organized and proactive Project Coordinator to oversee and streamline task management across multiple teams including Google Ads, Web, Data Entry, and Creative departments. This role requires strong communication skills and the ability to manage deadlines, coordinate cross-functional collaboration, and maintain comprehensive documentation. The ideal candidate will be experienced with project management tools, particularly ClickUp, and adept at driving team accountability through regular updates, meetings, and follow-ups.
Key Responsibilities
- Manage and update daily, weekly, and long-term tasks within ClickUp, ensuring all projects are accurately tracked and prioritized.
- Break down overarching goals into detailed, person-specific tasks and subtasks, assigning clear deadlines to ensure timely completion.
- Coordinate closely with Google Ads, Web, Data Entry, and Creative teams to align deliverables and timelines, fostering seamless collaboration.
- Lead daily stand-up meetings to review completed work, identify blockers, and set priorities for the day.
- Monitor task progress continuously, follow up on any delays, and escalate unresolved issues to appropriate stakeholders promptly.
- Ensure all departments provide regular status updates on ClickUp and actively prompt teams via Slack, email, or meetings to submit updates on pending work.
- Maintain clear and thorough documentation of blockers, changes, and escalations to support transparency and issue resolution.
- Send timely reminders to team members who miss updates or deadlines, reinforcing accountability.
- Draft, maintain, and regularly update Standard Operating Procedures (SOPs) for recurring tasks, quality assurance workflows, and team processes, incorporating feedback from team members.
- Manage version control of SOPs and ensure they are shared with new hires to support effective onboarding.
- Take detailed minutes during meetings, documenting decisions, action items, and next steps, and upload these records into ClickUp for team visibility.
- Prepare and distribute daily and weekly reports summarizing task completion status, blockers encountered, and any escalated issues to keep leadership informed.
Required Qualifications
- Demonstrated strong organizational skills with the ability to manage multiple deadlines, prioritize tasks effectively, and follow up consistently.
- Excellent verbal and written communication skills, enabling clear and efficient collaboration across diverse teams.
- Comfortable managing multiple departments and stakeholders simultaneously, balancing competing priorities with ease.
- Proactive and accountable mindset, capable of taking initiative, identifying gaps, and driving execution independently without constant supervision.
- Hands-on experience with ClickUp or similar project management platforms such as Asana, Trello, or Monday.com.
- Proven experience leading daily stand-ups and managing project management dashboards to track progress and issues.
Technical Requirements
- Proficiency in ClickUp for comprehensive project and task management.
- Familiarity with communication and collaboration tools including Slack, Google Workspace (Docs, Sheets, Drive, Meet), Zoom, or Google Meet.
