Job Summary
We are seeking a detail-oriented and proactive Inventory and Accounts Coordinator to support our distribution and warehousing operations. The ideal candidate will be responsible for conducting inventory reconciliations, managing financial transactions between distributors, retailers, and customers, and ensuring accurate and timely reporting. This role requires strong analytical skills, proficiency in ERP systems, and the ability to coordinate effectively across multiple stakeholders in the e-commerce and distribution sectors.
Key Responsibilities
- Conduct monthly inventory reconciliation and verification for distribution and warehousing clients to ensure accuracy and resolve discrepancies promptly.
- Prepare and issue invoices related to inventory and sales transactions.
- Manage payments to distributors on behalf of retailers, ensuring timely and accurate processing.
- Reconcile outstanding balances with retailers and customers to maintain up-to-date accounts.
- Prepare detailed debtor and supplier aging reports to monitor payment statuses and outstanding amounts.
- Finalize sales tax data, ensuring compliance with relevant tax regulations.
- Perform daily stock reconciliations to maintain accurate inventory records.
- Assist in monthly account closings by preparing necessary documentation and reports.
- Support annual audits by providing required information and documentation to both external and internal auditors.
- Prepare bank reconciliation statements to verify cash balances and transactions.
- Coordinate with retailers to ensure payment recovery within agreed due dates, maintaining strong communication channels.
- Act as a liaison between distributors and e-tailers, managing commercial and financial matters to facilitate smooth operations.
- Utilize ERP systems such as Oracle and SAP efficiently to manage inventory, financial data, and reporting.
- Apply comprehensive knowledge of e-commerce and distribution business operations to enhance process effectiveness.
- Demonstrate proficiency in Microsoft Excel and PowerPoint for data analysis, reporting, and presentations.
Required Qualifications
- Proven experience in inventory management, account reconciliation, or a related finance role within distribution or warehousing environments.
- Strong understanding of sales tax regulations and financial reporting requirements.
- Hands-on experience with ERP systems, particularly Oracle and SAP.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines.
- Strong communication and coordination skills to interact effectively with distributors, retailers, and internal teams.
- Proficiency in Microsoft Excel and PowerPoint for data manipulation and reporting purposes.
- Ability to support audit processes by preparing accurate and comprehensive documentation.
