Job Summary
We are seeking a highly organized and proactive Office Administrator to oversee the smooth functioning of our office operations. The ideal candidate will be responsible for managing office supplies, equipment, and maintenance services, ensuring that all resources are available and functioning efficiently. This role requires meticulous attention to detail in maintaining both digital and physical office records, as well as handling petty cash with accuracy and accountability. Key Responsibilities
- Manage all aspects of office operations, including the procurement and inventory of supplies, coordination of equipment maintenance, and liaising with service providers to ensure timely repairs and upkeep.
- Organize, maintain, and update office files and records, ensuring that both digital and physical documents are systematically stored and easily accessible. This includes implementing filing systems and ensuring compliance with data management policies.
- Oversee petty cash funds by accurately recording all transactions, performing regular reconciliations, and ensuring that expenditures are properly documented and within budget guidelines.
- Coordinate with various departments to anticipate office needs and resolve any operational issues promptly to minimize disruptions.
- Support administrative processes by assisting with scheduling, correspondence, and other office-related tasks as needed to enhance overall efficiency.
Required Qualifications
- Proven experience in office administration or a similar role, demonstrating strong organizational and multitasking abilities.
- Proficiency in managing office supplies, equipment, and maintenance coordination.
- Experience with maintaining both physical and electronic filing systems, ensuring accuracy and confidentiality.
- Competence in handling petty cash, including record-keeping and reconciliation.
- Strong attention to detail and excellent communication skills.
- Ability to work independently and manage time effectively in a fast-paced environment.
- Familiarity with standard office software such as Microsoft Office Suite (Word, Excel, Outlook) and basic accounting or bookkeeping tools.
