Job Summary
We are seeking a detail-oriented and proactive Administrative Officer to oversee and manage various administrative functions within our organization. This role involves coordinating office operations, facility management, and policy implementation while ensuring compliance with legal, safety, and cleanliness standards. The ideal candidate will be responsible for driving administrative projects to completion on time and within budget, maintaining smooth vendor and security operations, and ensuring adherence to statutory requirements. This position requires strong organizational skills, effective communication, and the ability to provide timely updates to management and stakeholders.
Key Responsibilities
- Oversee and execute a range of administrative projects, ensuring they are completed on schedule and within the allocated budget. This includes managing office operations and facility maintenance to maintain a safe and clean working environment.
- Implement and monitor organizational policies related to office management, ensuring compliance with internal standards and external regulations.
- Manage gate pass processing through the ERP system, coordinating with vendors and security teams to ensure smooth operations. This includes supervising maintenance activities and security protocols in line with established Standard Operating Procedures (SOPs).
- Ensure full compliance with legal and social regulations, including those related to PESSI (Punjab Employees Social Security Institution), EOBI (Employees’ Old-Age Benefits Institution), and labor laws. This responsibility also covers the distribution of uniforms and coordination with relevant government departments to maintain regulatory adherence.
- Track the progress of ongoing projects, identify and resolve administrative issues promptly, and provide regular, clear updates to management and other stakeholders to facilitate informed decision-making.
Required Qualifications
- Proven experience in administrative management, preferably within a corporate or industrial setting.
- Strong knowledge of office operations, facility management, and policy implementation.
- Familiarity with ERP systems, particularly for gate pass processing and vendor coordination.
- Comprehensive understanding of legal and social compliance requirements, including PESSI, EOBI, and labor laws.
- Excellent organizational and multitasking abilities, with a keen eye for detail and a commitment to maintaining safety and cleanliness standards.
- Effective communication skills to liaise with vendors, security personnel, government bodies, and internal teams.
- Ability to manage budgets and ensure projects are delivered within financial constraints.
- Proactive problem-solving skills and the capacity to provide timely updates and reports to senior management.
