Job Summary
This role serves as the primary point of contact for visitors and customers, ensuring seamless communication and efficient handling of inquiries. The position involves managing customer interactions both face-to-face and over the phone, maintaining accurate records, and providing essential administrative support within the organization. The ideal candidate will be approachable, organized, and capable of multitasking in a dynamic work environment.
Key Responsibilities
Customer Service:
You will be responsible for warmly greeting all individuals entering the organization and directing them to the appropriate departments or personnel. Handling inquiries from customers and the public via telephone is a critical part of this role. Additionally, you will monitor and document the movement of visitors, maintaining detailed records of all walk-in customers. Gathering feedback from sales staff regarding customer interactions will help improve service quality.
Communication:
Managing incoming calls professionally is essential. This includes greeting callers, providing accurate information, transferring calls to relevant departments, or taking messages when necessary. You will also be required to make outbound calls or coordinate conference calls as instructed by supervisors. Maintaining daily logs of telephone activity and preparing monthly call reports will support organizational communication tracking.
Mail and Deliveries:
Efficient handling of mail and deliveries is another key responsibility. You will send, receive, sort, and distribute all correspondence and packages promptly while keeping accurate daily records. Providing general administrative and clerical support to the administration department is expected, along with performing any additional duties assigned by your supervisor to ensure smooth office operations.
Required Qualifications
Candidates must hold a Bachelor’s Degree in any discipline. Proficiency in basic computer skills and experience in managing telephone exchanges are essential to perform the duties effectively.
Preferred Qualifications and Benefits
While not mandatory, a minimum of one year of relevant experience is preferred, with two years considered highly desirable.
