Job Summary
We are seeking a detail-oriented and highly organized Appointment Scheduler to join our team for a U.S.-based project. The ideal candidate will play a crucial role in managing lead communications, confirming availability, and scheduling appointments for our sales and service teams. This position requires excellent communication skills, professionalism, and the ability to work aligned with U.S. time zones to ensure smooth coordination and optimal customer engagement.
Key Responsibilities
The Appointment Scheduler will be responsible for making outbound calls to prospects and leads with the goal of scheduling appointments. Promptly responding to inbound inquiries via phone, email, or CRM platforms is essential to maintain engagement and customer satisfaction. You will coordinate calendars and schedule appointments for the appropriate sales or service team members, ensuring all meetings are confirmed and rescheduled as needed to maximize efficiency.
Maintaining accurate records of all interactions, scheduled appointments, and follow-ups within the CRM system is critical for tracking progress and ensuring seamless communication. Providing courteous and professional service during every customer interaction is a must. Collaboration with sales, customer service, and operations teams is required to guarantee smooth handoffs and alignment across departments. Meeting daily and weekly KPIs, including call volume, scheduling rates, and lead follow-ups, will be a key measure of success in this role.
Required Qualifications
Candidates must have proven experience as an appointment setter, scheduler, or in a similar capacity. Excellent spoken and written English is required, with familiarity with U.S. accents and terminology preferred to facilitate clear communication. The ability to work comfortably within U.S. time zones—such as EST, CST, or PST—is mandatory to ensure timely coordination.
Strong communication, listening, and interpersonal skills are essential to engage effectively with prospects and internal teams. The role demands the ability to multitask, stay organized, and work independently with minimal supervision. Experience using CRM tools like HubSpot, Salesforce, or Zoho is necessary to manage leads and appointments efficiently. For remote candidates, access to high-speed internet and a quiet workspace is required to maintain professionalism and productivity.
Preferred Qualifications and Benefits
Experience working on U.S. outbound calling campaigns is highly desirable, as is a background in customer service or inside sales, which can enhance your ability to connect with prospects. Familiarity with time zone conversions and calendar management software such as Google Calendar or Outlook will be advantageous.
A high school diploma is required, while a bachelor’s degree is preferred. This is a full-time, in-person position offering a competitive monthly salary ranging from Rs60,000 to Rs70,000.
