Job Summary
We are seeking a dedicated Personal Assistant to provide comprehensive secretarial and administrative support to the Chief Executive Officer (CEO) and Chairman. This role is pivotal in ensuring the smooth execution of assigned tasks and plans, while maintaining clear communication with the Manager HR and CEO regarding progress updates. The position is based in Lahore and requires a maximum educational qualification of a Bachelor’s degree. The ideal candidate will demonstrate exceptional organizational skills, discretion, and the ability to manage multiple priorities efficiently.

Key Responsibilities
The Personal Assistant will be responsible for managing the CEO’s daily diary and scheduling all appointments to optimize time management. This includes organizing meetings, preparing detailed agendas, and accurately recording minutes to ensure follow-up actions are tracked and completed. A significant part of the role involves liaising with the Department of Land and Development (DLD) to follow up on relevant matters.

Maintaining and updating calendars for meetings and reports is essential, covering weekly, monthly, quarterly, and operational timelines. The role also includes overseeing activities related to the CEO Welfare Foundation (QHF), such as managing apps, books, workshops, and lectures associated with the foundation.

Managing the CEO’s social media portals is another key responsibility, requiring regular updates and engagement to maintain a professional online presence. The incumbent must handle confidential documents and files with the utmost security and discretion.

Travel arrangements form a critical part of this role. The Personal Assistant will arrange visas, flight tickets (both international and domestic), and hotel accommodations for the CEO and visiting foreign guests. Coordination with the Lahore Chamber of Commerce & Industry (LCCI) is necessary to obtain invitation letters for foreign visitors. Additionally, the role involves organizing office meetings, exhibitions, and seminars, ensuring all logistical aspects are handled efficiently.

All travel-related documentation must be managed meticulously to guarantee smooth and timely execution of travel plans aligned with the CEO’s schedule.

Required Qualifications
Candidates must hold a Bachelor’s degree as the highest educational qualification. Proven experience in managing visa applications and travel arrangements for both international and domestic trips is essential. The role demands strong organizational and multitasking skills, with a keen eye for detail.

Excellent written and verbal communication abilities are required to interact effectively with various stakeholders. Proficiency in MS Office applications, including Excel, email correspondence, and presentation tools, is mandatory.

Familiarity with administrative and HR procedures, such as proper record filing and database management, is important. The candidate must demonstrate the ability to maintain confidentiality, showing high integrity and trustworthiness at all times.

Comfort in dealing professionally with employees, customers, principals, and service providers is essential.

Preferred Qualifications and Benefits
Experience in managing social media portals and digital communication platforms will be considered an advantage. The ability to coordinate and liaise effectively with external organizations, particularly the LCCI, is preferred.

This is a full-time, in-person position based in Lahore, offering a monthly salary range of Rs. 45,000 to Rs. 50,000. The role provides a unique opportunity to work closely with senior leadership and contribute directly to the organization’s success.
