Aga Khan University Hospital (AKUH) is a distinguished not-for-profit healthcare institution offering a wide range of medical services under one roof. In addition to its tertiary care hospital in Karachi, AKUH manages a network of secondary care hospitals, numerous medical centres, clinical laboratories, and pharmacies throughout Pakistan. The Health Information Management Services (HIMS) department plays a vital role in managing extensive medical records, coding, transcription, and document imaging, handling nearly 1.8 million records with a daily increase of 500 files. HIMS ensures the efficient circulation of approximately 4,000 records daily within the hospital network. Key Responsibilities
- Retrieve both booked and un-booked patient records from all departmental locations based on requisitions from clinics, wards, and emergency rooms, ensuring timely availability for patient care.
- Organize loose sheets by verifying medical record numbers and patient names, then mount them correctly within medical record files.
- Monitor overdue files using the overdue list across all medical record locations and physicians’ offices to guarantee records are accessible when required.
- Receive and log review requests to support research activities.
- Shelve returned records in terminal digit order to facilitate prompt retrieval.
- Repair or replace torn folders to maintain the integrity and manageability of medical records.
- Regularly review file placement on shelves by checking medical record numbers to identify and correct any mis-shelving.
- Perform any other related duties as assigned by the supervisor.
Required Qualifications
- Intermediate education with one year of formal on-the-job traineeship in medical record file storage, retrieval, and maintenance from a reputable hospital; OR
- Intermediate with 1-2 years of relevant experience; OR
- Matriculate with eight or more years of related experience.
- Knowledge of medical terminology, anatomy, and physiology.
- Proficiency in computer programs and software relevant to medical records management.
- Strong verbal and written communication skills in English.
