Procurement Officer

Procurement Officer will be responsible for maintaining the record in ProSource, paperwork, and procurement operation as per policy and procedure (FP3) of organization. Carry out procurements for the field office through ProSource. Implement / field testing of all approved procurement policies and procedures in coordination with the administration department, Finance and in consultation with all Program team and key team members.

Essential JOb Functions:

Responsible for managing purchase request, purchase order and GRN using Prosource and update the PRs in Master PR List and to provide to originator.
Assist team members in proper filing of Purchase Requestes(PR) using ProSource.
Keep procurement record maintained in ProSource and paperback in an orde and up to date
Coordinate with the Warehouse Officer to provide GRNs for confirmation of deliveries
Ensure up-to-date filling system manually and electronically using Pro Source
Assist Senior Operations Officer in submission of payment vouchers using ProSource to finance department through program team for payment
Keep up to date list of suppler and registered the supplier on ProSource
Prepare tender documents according to the nature of job and issuing to supplier/contractors
Support the orginators in using ProSource and raising Purchase Requests
Support the committee memebers/graders in grading the procurment
Follow organization standard security protocols while conducting the procurement activities
Attend refresher training sessions and meetings with other members of the project as required
Conduct him/herself professionally and personally in such a manner so as to bring credit to organization and in no way jeopardize its humanitarian efforts
Other relevant duties as assigned

Reports Directly To: Senior Operations Officer

Works Directly With: Program and Finance Team

KNOWLEDGE AND EXPERIENCE:

Masters in social scienes/relevant discipline, having MBA degree will be preffered.
At least 03-year experience of procurements.
Must has demonstrated understanding of procurement ethics, must be able to work independently and prioritize, show initiative.
Proficiency in written and spoken English. Fluency in local languages will be an asset.
