· Responsible to executive and monitor all administrative activities. Moreover responsible to deal with all govt. departments or other institutions related to admin matters and IMS responsibilities.
· Responsible to prepare monthly administration budget and discuss with Head Administration & HSE to perform administration activities within the monthly approved budget.
· Ensure complete security of all the designated areas and take action if a potentially dangerous situation arises ensure that appropriate surveillance logs of all surveillance activities maintained by surveillance staff which shall be, date and time of the CCTV recordings & the Video Numbers.
· Deal all administrative emergencies by himself including but not limited to theft case staff emergencies, electricity failures and matters etc.
· Responsible for arrangements of transportation activities, proper maintenance of office staff vehicles, pool cars & staff vans specified vendors within budget guidelines.
· Responsible to purchase and manage stock, all office related mess, stationery and housekeeping related purchases on monthly/daily basis and manage stocks of office stationary, mess items, Toiletries and ensure the controls to stop wastage of these commodities.
· Responsible for overall management of canteen including mess rules, meals schedules, hygiene conditions and foodquality and ensure that workers grievances regarding food supply and quality are timely and properly addressed.
· Responsible to ensure on time completion and submission of staff and workers attendance to accounts department in ERP for payroll processing.
· Prepare a successor of him by training & developing a staff member.
· Developing department staff through formal and informal coaching, counseling & mentoring sessions.
· Conduct final (technical) selection interview of staff needed to be hired in his department of the company.
Duty time will be 09:00am to 05:30pm, however 24 hours availability on cell phone.
Housekeeping and Housekeeping staff as per organization’s requirement.
Duty roasters of support staff (Gardeners/Drivers/Office Boys/Painters etc.)
Day to day maintenance of premises (i.e. Construction work/Wood Work/Glass work etc.)
Official vehicles timely repair and maintenance from approved/recommended workshops.
Ensure Each Vehicle’s logbook to be up dated properly.
Sales of scarp as per defined SOP.
Arrangements for In-House/Out Door Organizational Events (Occasional/Annual etc.)
Various support/maintenance activities of staff/labor residences.
Renewal of Various agreements/Licenses etc. (i.e. Rent, Mess, Janitorial Services, Transport, Weapons, and Security etc.)
Govt. Departments (Local Govt., Health, Environment, Police, WAPDA etc.)
Support HR Department in handling EOBI, PESSI, Labor departments.
Support HR Department for the implementation of all policies on the floor regarding discipline.
Any other job entrusted by the Senior Management, Chief Executive and Director.
I will be responsible to check and make the gate control system i.e. Inward, Outward, RGP, visitors, employees checking, company vehicles etc.
To check the time attendance records and operations including workers staff attendance leaves salary disbursement, Provident fund.
To follow up of Housekeeping and gardening.
To check Security matters of the company including CCTV, guard hiring and firing, duty and weapons inspection.
To check and control the finished goods, raw material and general store inventory control system.
Workers code of conduct and their grievances.
Time to time renovation work of offices, Building repair, maintenance and repairing of office premises and equipment.
All of company Vehicle repairing and maintenance and their fueling record.
Direct the activities of staff in relation to transportation operations including dispatching, routing, daily log book maintaining and tracking transportation vehicles.
Handle all the operational matters of transportation i.e. road accident, chalaan etc.
Keep close contact with relevant Government offices and handle such matters i.e. EOBI, PESSI, PTCL, WAPDA, LDA, WASA, TMA, Police stations, Courts and other departments as required and if necessary, and report to the company management accordingly.
To give all kinds of legal support to the Organization when and where required.
Scrape handling receiving, stock and sale through proper procedures.

Monitoring of daily reports, weekly planner and monthly work plane reports of all field force.
Verification of doctor activities, preparation of R.O.I statements on monthly bases and get progress with regard to business achieved from the concerned doctors.
Issue of cheques to concerned doctors after approval of director (marketing).
To check tour expenses of Marketing Head. National Sales Manager (franchise) and getting approval from the director marketing.
Preparation of ledger work related of area wise expenses of marketing department.
Provision of mobile phones/Sims to field force of marketing department and monitoring tracking system.
Sanction of telecommunication bills of field force and marketing department.
To make arrangements of meetings, conferences and training sessions of marketing.
To arrange stationery items and others office equipment of marketing department.
To deal wanders for payments of stationery, printing, courier companies, hotel bills and others related with marketing department.
Checking of cash book and vouches on daily bases relating to marketing department.
Maintenance of all company vehicles and repairing work from the authorized mechanic.
Handing over taking over the company vehicles from the field force of marketing department after observing all usual formalities.
