· Managing and ensuring all documentation and communication are within delivered timelines.
· Assisting the Country Director in reviewing and meeting deadlines for deliverables such as OGSM, Business Planning, Quarterly Review, Month end, Management Committee meetings, AGM and Strategic Mapping and so on.
· Managing relationships with multi-donor teams across MSS ensuring everyone operating within appropriate guidelines.
· Compiling and analyzing reports, monitoring daily performance of Clinics across Pakistan, Liaison with Operational leads in all provinces to achieve donor and business plan projection.
· Working closely with business strategy team to develop / reinforce and implement new strategies across the board
· Working closely with social marketing team for promotion of product, vendor payment, office stationeries printing etc
· Presently also the acting HOD for infrastructure department managing the renovation of HO, Clinics and regional office. (From 2019 to Present)
Administration Responsibilities
· Direct administrative functions for the directors, consultants, and key senior managers.
· Research, propose and implement vendor services to decrease costs to organization.
· Provide support to regional leads and other directors as and when required.
· Providing strong support in developing Itineraries for international visitors and in-house teams
· Any other special task as assigned by Country Director
· Provide Strong support to the Country Director in managing day-to-day activities and meetings to ensure efficient utilization of her time Booking rooms and travel arrangements
(a) Diary Management: maintained track of meetings and critical deadlines which helped in balancing conflicting priorities, manage workflow and ensure the completion of essential projects.
(b) Maintain Tracking log (filing system) of the officials reporting directly to CD.
(c) CD Time Management
(d) Travel Management compliance and approval
(e) AX system compliance and approval.
(f) Time Sheet and work plan submission by or before the deadline
(g) Reviewing / compliance of document for country director approval
(h) Issuance of Notification / Memo from the desk of country director
