• Oversee the administrative operations and management of all administrative activities at Toyota Sukkur Dealership & any other associated locations or assigned scope and ensure its due compliance with company’s policies and procedures.
  • Managing housekeeping function and monitoring overall level of cleanliness and hygiene across the dealership including all customer facing interface areas, operations facilities, staff facilities, and other associated dealership areas.
  • Ensure implementation and compliance with HSE policies and procedures and ensure safe, healthy and secure work environment through regulating optimal HSE standards at the dealership and its timely reinforcement including proper functioning of fire-fighting apparatus, regular emergency drills, employees’ trainings & education and first-aid apparatus availability & replenishment.
  • Lead, manage & coach Admin. team in facilitating administrative provisions of the dealership including security, horticulture & janitorial, messing, transportation etc and provide resolution on day-to-day administrative requisitions, complains pertaining to administrative functions.
  • Manage contracts and smooth service delivery of the administration work. These include security services, office maintenance, equipment maintenance and managing the affairs related to utilities, office supplies, furniture, photocopier, printer, fax, power supply, electrical and electronic gadgets, telephone systems, standby generator etc.
  • Managing Employee Messing arrangements & other entertainment requirements including tea drinking water and event oriented facilitations. This includes cost & quality control of the food being served to employees & guest and overall food safety & hygiene aspects.
  • Carry general – administrative nature of procurement including employees mess provisions, kitchen utensils, general office supplies, printing & stationary items, refreshments (tea, milk etc.), fuel, generators, appliances as per the company policy and in alignment to the Corporate Supply Chain Department for bulkmajor articles & others areas where applicable..
  • Manage and disburse courier mails within and outside the company and ensure maintenance and safety of record related to administration department.
  • Review and control monthly administration expense and report to the management with accuracy on regular basis.
  • Ensure accuracy and validity of monthly payroll information for attendance of admin & janitorial staff.
  • Ensure all administrative support is extended to the management in day to day business and other support related affairs. This includes handling & provisioning of protocol & refreshment to CEOCOO guests, managing administrative affairs of the other associated premises e.g. staff accommodation affairs, its utility & security functions.
  • Supervise and ensure safety and security measures at dealership including proper functioning of security related equipment (CCTV cameras, Security alarms are intact and repaired/ replaced immediately in case of failure), presentations/drills on safety measures, handling of unwanted/unknown visitors, issuance of gate pass, cancellation/re-issuance of access control cards, and etc.
  • Deal & manage statutory compliances pertinent to the administrative nature of functions including law enforcement agencies, civil defense, government departments etc.
  •  Administer transportation & vehicle fleet management of the dealership vehicles including controlling their fuel consumption, repair and maintenance
  • Ensure safe custody of all dealership assets, documents and other essential aspects.
  • Ensure timely payments of all monthly utility bills, periodic payments including taxes, dues etc related to dealership.
