The Executive Assistant will provide high-level administrative support to the CEO  in Kinshasa. The role involves managing executive schedules, coordinating meetings and events, handling correspondence, and performing various administrative tasks to ensure smooth and efficient operations.

Key Responsibilities:

Calendar Management

  • Effectively manage the CEO's calendar, schedule appointments, and arrange meetings, ensuring optimal use of time and coordination with internal and external stakeholders.

Correspondence Management

  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls, and draft responses on behalf of the CEO when required. Maintain confidentiality and professionalism in all communications.

Meeting Coordination

  • Plan, organize, and coordinate meetings, including agenda preparation, venue booking, material distribution, and minute-taking. Follow up on action items and ensure timely completion.

Travel and Logistics

  • Arrange domestic and international travel itineraries, including flights, accommodation, ground transportation, and visa arrangements. Prepare travel expense reports accurately and promptly.

Documentation and Filing

  • Maintain an organized filing system for documents, reports, and other relevant materials. Ensure easy accessibility and retrieval of information as needed.

Event Management

  • Assist in planning and coordinating corporate events, conferences, and seminars. Manage logistics, invitations, RSVPs, and other event-related activities.

Research and Reporting

  • Conduct research, collect data, and prepare reports, presentations, and briefing materials for the CEO's meetings and presentations.

Administrative Support

  • Provide general administrative support, such as managing office supplies, coordinating with external vendors, processing expenses, and maintaining records.

Confidentiality and Discretion

  • Handle sensitive information with utmost confidentiality and exercise discretion in all interactions and tasks.

Qualifications and Skills

  • Bachelor's degree in business administration, management, or a related field.
  • Proven experience as an executive assistant or in a similar role, preferably supporting top-level executives.
  • Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong verbal and written communication skills in English. Knowledge of other local languages is a plus.
  • Proficient in using productivity tools and software, including MS Office Suite (Word, Excel, PowerPoint), email clients, and calendar management systems.
  • Detail-oriented with exceptional problem-solving abilities and the capacity to work independently with minimal supervision.
  • Professional demeanor, strong interpersonal skills, and the ability to build relationships with internal and external stakeholders.
  • Flexibility to work outside regular office hours and adapt to changing priorities or urgent requests.
  • Familiarity with the bottling or manufacturing industry is advantageous but not mandatory.

Contract Duration and Remuneration

  • The position is offered on a full-time basis with a fixed-term contract of 1 year.  Remuneration and benefits will be commensurate with qualifications and experience.
