1. Daily Operations Management

  • Oversee and manage daily administrative tasks, ensuring smooth coordination across departments and adherence to company policies and procedures. 
  • Develop, implement, and optimize administrative processes, conducting regular reviews to ensure efficiency. 

2. Office Space and Facilities Management

  • Maintain office environments, manage procurement, and oversee inventory (including office supplies and refreshments). 
  • Supervise the maintenance of office equipment (e.g., printers, network systems, security systems) and liaise with vendors for timely repairs and troubleshooting. 

3. Exhibition Hall Operations Management

  • Plan and execute exhibition layouts, ensuring displays are well-maintained and explanatory materials are up-to-date. 
  • Coordinate customer visit processes, train staff, and gather visitor feedback for continuous improvement. 

4. Digital Management

  • Manage company websites and social media platforms, ensuring regular updates in both Chinese and English. 
  • Monitor website performance metrics, analyze traffic data, and provide actionable insights for optimization. 

5. Project Coordination and Tracking

  • Utilize project management tools (e.g., Trello, DingTalk) to track task progress across departments. 
  • Identify potential bottlenecks, provide early warnings, and facilitate cross-departmental collaboration to ensure timely project completion. 

6. Meeting and Event Management

  • Organize and coordinate weekly/monthly meetings, document meeting minutes, and follow up on action items. 
  • Plan and execute company cultural events and external receptions, ensuring seamless operations. 

7. Data-Driven Reporting

  • Prepare comprehensive weekly operations reports, integrating key financial, business, and administrative data. 
  • Analyze operational costs and propose strategies for cost reduction and efficiency improvement. 

8. General Administrative Support

  • Manage employee travel arrangements and visa processing. 
  • Handle bilingual (Chinese-Urdu) document translation and perform basic clerical tasks as needed.
