JOB RESPONSIBILITIES

Overall Objectives (scope)

The Medical Accident & Emergency Coordinator is a critical role within the Accident & Emergency Department (AED) of a healthcare facility. His/her overall objectives can be broadly categorized into operational, clinical, administrative, and communication-related areas. The incumbant of the position holder is designed to ensure that the A & E Department operates efficiently, delivers high-quality care, and adheres to clinical standards and safety regulations, all while maintaining positive relationships with patients, staff, other hospital departments, district administration as well as other relevant departments and general public.

Responsibilities/Accountabilities

•  Patient Flow Management:

Oversee and manage the patient intake and flow through the A & E Department to ensure timely treatment and minimize delays.

Monitor and coordinate the triage process to ensure that patients are prioritized based on the severity of their condition.

Work closely with medical and nursing staff to ensure that patients are seen promptly and that no patient is overlooked.

Ensure that patients are moved efficiently through different stages of care (assessment, treatment, discharge and referral within hospital departments or outside hospital for specialised health care).

•  Staff Coordination and Scheduling:

Coordinate the scheduling of medical, nursing, and support staff to ensure appropriate coverage during peak times and throughout shifts.

Ensure that adequate staff levels are maintained, especially during busy periods, and handle the allocation of emergency on-call staff as required.

Act as a point of contact for staff concerns or issues and facilitate communication between A&E team members.

Oversee the orientation, training, and periodic performance evaluation of old and newly hired A&E staff.

Resource Management:

  • Ensure that the A & E Department has the necessary medical supplies, equipment, and resources to provide high-quality care.
  • Maintain inventory control, timely ordering supplies and equipment as needed, and ensuring proper usage.
  • Ensure the PPMand safety of medical equipment and collaborate with the technical or biomedical engineering team to address any malfunctions or repairs.

 Operational Coordination:

  • Oversee the daily activities and operations of the A&E department, ensuring that staff, resources, and patient flow are managed efficiently.
  • Coordinate with medical professionals, nursing staff, and support teams to ensure timely response and care for emergency patients.
  • Ensure that all patient admissions, discharges, and referrals are properly documented and executed.
  • Ensure that available Human Resource of A & E Department is effeicently posted and assigned the duties in all shifts and manage shift schedules and coverage for medical, nursing, and non-clinical staff.
  • Facilitate hospital administration, duty doctors and other staff in deliverence of duties and coordination with concerned authorities, in emergency situation such as Medico-legal and other day to day affairs as and when emerge

Clinical Support:

  • Closely working with Head of Department and provide assistance for implementation of clinical protocols for emergency case management at hospital
  • Assist in coordinating the delivery of urgent care, ensuring that clinical protocols are followed for patient treatment.
  • Provide administrative support in tracking patient tests, treatments, and lab results, ensuring that all necessary actions are taken in a timely manner.
  • Collaborate with other hospital departments, including radiology, laboratory, and pharmacy, to ensure that diagnostic tests, imaging, and medications are delivered timely.

Emergency Preparedness:

  • Oversee the preparation of the A & E Department for large-scale emergencies, such as natural disasters, mass casualty incidents, or pandemics.
  • Coordinate the hospital’s response plan, ensuring that the A & E team is prepared for any surge in patient volume.
  • Ensure that emergency equipment, medications, and supplies are adequately stocked and maintained.

·       Data Collection and Reporting:

  • Ensure accurate patient records and ensure that all clinical and operational data is properly documented and tracked.
  • Prepare reports on department performance, including patient volume, treatment outcomes, and wait times, to be reviewed by hospital management.
  • Use data to identify areas for improvement in patient care and A & E operations.

Patient and Family Support:

  • Provide emotional support to patients and their families during stressful and traumatic events, offering information and reassurance as needed.
  • Address patient and family concerns, escalating issues to senior management or medical staff as appropriate.

4 Years (Experience working in an emergency department (preferrably public sector Tertiary/secondary care level Hospitals), healthcare coordination, or healthcare management. Clinical experience as a nurse, paramedic, or physician assistant may also be bene)
