We are seeking a highly organized and professional Office Assistant to provide comprehensive support to a member of our executive management team. This pivotal role requires a seasoned professional who has experience working as an assistant at the management level and understands the dynamic demands of a fast-paced corporate environment

Key Responsibilities:

Administrative Support: Provide executive-level assistance by managing daily schedules, coordinating appointments, and maintaining calendars.

Meeting Coordination: Record and transcribe meeting notes with precision and ensure the timely distribution of minutes and follow-ups.

Travel Management: Arrange and manage domestic travel itineraries, ensuring seamless logistics and timely execution.

Documentation: Prepare, proofread, and organize professional correspondence, reports, and presentations.

Organizational Efficiency: Maintain filing systems, both electronic and physical, to ensure easy access and confidentiality of sensitive information.

Event Coordination: Support the planning and execution of business events, meetings, and conferences.

Task Prioritization: Anticipate the needs of the executive, handle ad hoc tasks, and adapt to changing priorities efficiently.

Required Skills and Qualifications:

Proven Experience: Minimum of 3–5 years as an assistant to a member of executive management or a senior leader.

Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with scheduling tools and project management software is an asset.

Communication Skills: Exceptional verbal and written communication skills, with a strong ability to maintain professionalism in all interactions.

Time Management: Strong organizational skills with the ability to manage multiple tasks, meet deadlines, and maintain accuracy under pressure.

Problem-solving abilities: A proactive mindset to address challenges and deliver effective solutions.

Confidentiality: Demonstrated ability to handle sensitive information with the utmost discretion and professionalism.

Interpersonal Skills: A collaborative approach, with the ability to build strong working relationships across departments and levels.

Additional Requirements:

Flexibility: Willingness to travel domestically for business purposes. All travel arrangements will be fully sponsored by the company.

Adaptability: Comfortable working in a dynamic and high-pressure environment where priorities can shift rapidly.

Education: A diploma or degree in Business Administration, Office Management, or a related field is preferred but not mandatory.
