We are seeking a highly organized, proactive, and professional Executive Secretary to support the CEO in managing daily operations and ensuring smooth business processes. The ideal candidate will be a reliable, detail-oriented individual with excellent communication skills and the ability to handle confidential matters with discretion.

Key Responsibilities:

  • Provide comprehensive administrative support to the CEO, including managing schedules, appointments, and correspondence.
  • Act as the first point of contact between the CEO and internal/external stakeholders.
  • Prepare reports, presentations, and other documents as required by the CEO.
  • Organize and coordinate meetings, conferences, and travel arrangements.
  • Maintain and update records, files, and databases in a highly organized manner.
  • Screen and prioritize emails, phone calls, and other forms of communication.
  • Handle confidential and sensitive information with discretion.
  • Assist in preparing agendas, meeting minutes, and follow-up action plans.
  • Manage special projects and assignments as directed by the CEO.
  • Liaise with department heads, clients, and external partners on behalf of the CEO.
  • Oversee accounts-related tasks, particularly billing, and follow-up of receivables.
  • Handle HR matters, including staff recruitment, onboarding, and employee welfare.
  • Ensure and manage office discipline for all staff members.

Qualifications and Skills:

  • Degree in Business Administration, Secretarial Studies, or a related field.
  • Proven experience as an Executive Secretary, Personal Assistant, or in a similar role.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • High level of professionalism and ability to maintain confidentiality.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask, prioritize, and work independently with minimal supervision.
  • Strong attention to detail and problem-solving skills.
  • Excellent interpersonal skills and a customer-focused attitude.
