Position Summary:

The Deputy Manager – Reporting is responsible for overseeing and managing the preparation, drafting, and presentation of detailed reports across various areas of the organization. This role requires a strong ability to analyze data, synthesize information, and communicate findings clearly and effectively in written format. The Deputy Manager will work closely with senior management and other departments to ensure that reports meet organizational standards and objectives.

Key Responsibilities:

  • Report Preparation and Writing:

    • Lead and manage the creation of monthly, quarterly, and annual reports on key performance indicators (KPIs), financial summaries, project updates, and other critical business information.
    • Compile data from multiple sources (finance, operations, HR, etc.) to create coherent and actionable reports.
    • Draft reports that are clear, concise, and tailored to various audiences, including senior management, stakeholders, and regulatory bodies.
  • Data Analysis and Interpretation:

    • Analyze trends, performance metrics, and other key data points to generate insightful conclusions and actionable recommendations.
    • Work with the data team or other relevant departments to gather accurate and timely data for report writing.
  • Collaboration and Communication:

    • Coordinate with other departments and team members to gather relevant information and ensure the accuracy of data included in reports.
    • Present findings and recommendations to senior management in a structured and understandable manner.
    • Act as a point of contact for departments seeking guidance on report preparation or data analysis.
  • Quality Assurance:

    • Ensure that all reports adhere to organizational standards for formatting, consistency, and quality.
    • Review and edit reports for clarity, accuracy, and completeness before submission.
  • Compliance and Best Practices:

    • Ensure that reports comply with internal policies, industry regulations, and legal requirements where applicable.
    • Stay updated on best practices in report writing and implement improvements where necessary.
  • Continuous Improvement:

    • Identify opportunities for improving the efficiency and effectiveness of the report-writing process.
    • Suggest improvements in data collection, reporting formats, and content delivery.

Key Deliverables: 4. Required Skills and Qualifications:  

  • Timely submission of monthly, quarterly, and annual reports.
  • Detailed reports on departmental performance, financial data, and project progress.
  • Regular updates to senior management and stakeholders on key initiatives and performance metrics.
  • Quality assurance of all written reports submitted by the team or other departments.

Education:

  • A bachelor’s degree in Business Administration, Communications, Finance, or a related field. A Master’s degree or professional certifications in a relevant field is a plus.

Experience:

  • Minimum of 3-5 years of experience in a report-writing or managerial role, preferably within NGO/INGO Settings.
  • Strong experience in drafting reports, project documentation, and executive summaries.

Skills:

  • Exceptional writing, editing, and proofreading skills.
  • Strong attention to detail, with the ability to identify and correct errors in data or written content.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word) and reporting tools (e.g., Tableau, Power BI).
  • Excellent analytical skills and the ability to interpret complex data and present it in a simplified format.
  • Strong organizational skills, with the ability to manage multiple reporting deadlines effectively.
  • Ability to communicate complex information to non-experts.
