Job Summary
We are seeking a detail-oriented and proactive Import and Procurement Coordinator to manage the end-to-end import process and support financial documentation related to purchases and sales. The ideal candidate will be responsible for coordinating with suppliers, freight forwarders, and internal teams to ensure smooth import operations, timely delivery of shipments, and accurate financial record-keeping. This role requires strong communication skills, organizational abilities, and a commitment to maintaining compliance with contractual and financial procedures.
Key Responsibilities
- Oversee the entire import process, including effective communication with suppliers, coordination with freight forwarders, customs clearing, and handling Letters of Credit (LC) and contract processing.
- Monitor shipment progress closely to ensure deliveries are on schedule, promptly addressing and resolving any delays or deviations.
- Draft, review, and finalize contracts with suppliers to establish clear terms and conditions that protect company interests.
- Maintain comprehensive and organized records of purchase orders, invoices, contracts, and shipment documentation to support audit and operational requirements.
- Generate sales invoices accurately following delivery and prepare profit and loss statements to provide insights into transaction profitability.
- Conduct diligent follow-up on overdue payments by making calls, sending emails, and issuing written reminders to ensure timely collection and maintain healthy cash flow.
- Maintain and update financial records, ledgers, and accounts within the company’s ERP system to ensure accuracy and compliance with accounting standards.
Required Qualifications
- Strong communication and interpersonal skills to effectively liaise with suppliers, internal teams, and external partners.
- Proficiency in MS Office applications (Word, Excel, Outlook) and familiarity with ERP systems or other relevant computer applications.
