Job Summary
We are seeking a detail-oriented and proactive Inventory and Accounts Coordinator to manage inventory reconciliation, financial transactions, and reporting for our distribution and warehousing clients. This role requires close collaboration with retailers, distributors, and e-tailers to ensure smooth commercial and financial operations. The ideal candidate will have strong analytical skills, experience with ERP systems, and a solid understanding of e-commerce and distribution business processes.
Key Responsibilities
- Conduct monthly inventory reconciliation and verification for distribution and warehousing clients to maintain accurate stock records.
- Resolve inventory discrepancies and prepare related invoices promptly to support billing accuracy.
- Process payments to distributors on behalf of retailers, ensuring timely and accurate financial transactions.
- Reconcile balances with retailers and customers regularly to maintain up-to-date account statuses.
- Prepare detailed debtor and supplier ageing reports to monitor outstanding payments and liabilities.
- Finalize sales tax data in compliance with applicable regulations and company policies.
- Perform daily stock reconciliations to track inventory movements and identify variances.
- Assist in monthly accounts closing activities to ensure financial records are accurate and complete.
- Support annual audits by providing necessary documentation and explanations to both external and internal auditors.
- Prepare bank reconciliation statements to verify cash balances and resolve discrepancies.
- Coordinate with retailers to recover payments within agreed due dates, minimizing overdue accounts.
- Serve as a liaison between distributors and e-tailers, managing commercial and financial communications effectively.
- Utilize ERP systems such as Oracle and SAP to manage inventory, financial data, and reporting efficiently.
- Apply knowledge of e-commerce and distribution business operations to enhance process accuracy and efficiency.
- Use Microsoft Excel and PowerPoint proficiently for data analysis, reporting, and presentations.
Required Qualifications
- Proven experience in inventory management, accounts reconciliation, and financial reporting within distribution or warehousing environments.
- Strong familiarity with ERP systems, specifically Oracle and SAP.
- Solid understanding of e-commerce and distribution business models and operations.
- Proficiency in Microsoft Excel and PowerPoint for data handling and reporting purposes.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines.
