Job Summary
The Executive Assistant will deliver high-level administrative support to the Chief Executive Officer, playing a crucial role in ensuring the smooth and efficient operation of daily activities. This position involves managing communications, coordinating schedules, handling documents, and assisting with project management to support the CEO and the broader management team effectively. The role is full-time and requires onsite presence during the night shift, from 9 PM to 6 AM PKT.
Key Responsibilities
The Executive Assistant will provide comprehensive administrative support to senior management, including answering phone calls, organizing meetings, and preparing correspondence. Managing the CEO’s calendar is a core function, involving scheduling appointments, coordinating meetings, and arranging travel plans to optimize time and productivity.
Accurate preparation, review, and maintenance of records, reports, and documents for management review are essential. The Executive Assistant will serve as a liaison between the CEO, internal teams, and external stakeholders, ensuring clear and effective communication across all channels.
Supporting special projects is another key responsibility. This includes coordinating tasks, monitoring deadlines, and ensuring objectives are met efficiently. The role also involves organizing meetings by preparing agendas, taking detailed minutes, and following up on action items to ensure progress.
Handling sensitive and confidential information with discretion and professionalism is paramount. The Executive Assistant must prioritize tasks effectively and manage time to support the CEO’s business goals. This includes controlling workflow and managing logistics related to the CEO’s activities.
Interaction with leadership, both internally and externally, is expected as part of the role. Additionally, the Executive Assistant will perform other duties as assigned to support the management team and contribute to overall organizational success.
Required Qualifications
Candidates should hold a Bachelor’s degree in Business Administration, Management, or a related field, which is preferred but not mandatory. Previous experience in administrative support, office management, or a similar capacity is highly advantageous.
Strong organizational and time management skills are essential, with the ability to multitask effectively in a dynamic environment. Excellent written and verbal communication skills are required to maintain professional and clear correspondence.
Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint), email platforms, and scheduling tools, is necessary. Attention to detail and accuracy in all tasks are critical to maintaining high standards of work.
