Job Summary
Sika Pakistan (Pvt) Limited, a subsidiary of the global specialty chemicals leader Sika AG, is looking for a detail-oriented and proactive Admin Executive to efficiently manage front desk operations and support key administrative functions. This role serves as the first point of contact for visitors and clients, ensuring seamless office coordination and effective handling of communication devices, vehicle management, and administrative expense tracking. The successful candidate will play a vital role in maintaining a professional and well-organized office environment while providing essential support to the HR and administrative teams.
Key Responsibilities
The Admin Executive will warmly welcome and professionally direct visitors, clients, and employees upon arrival, creating a positive first impression. Managing incoming calls, emails, and correspondence is a critical aspect of the role, requiring the ability to route inquiries promptly to the relevant departments. Daily administrative duties include overseeing inventory management of office supplies and stationery to ensure uninterrupted office operations.
Maintaining accurate records is essential, including visitor logs, employee attendance, and courier tracking details. The role also involves coordinating company vehicle scheduling, maintenance, insurance, and related documentation to guarantee smooth transportation management. Monitoring fuel card usage and preparing detailed fuel consumption reports are key responsibilities to support cost control.
The Admin Executive will manage the issuance, tracking, and billing of official communication devices such as mobile phones and SIM cards, coordinating replacements when necessary. Tracking and reporting administrative expenses—including office supplies, utilities, vendor bills, travel, and vehicle-related costs—are vital for budget adherence.
Supporting travel and accommodation arrangements for employees and guests is another important task, ensuring all logistics run smoothly. The candidate will also ensure the reception and office areas remain clean and professionally presented at all times. Liaising with vendors, service providers, and facility management to ensure timely service delivery is part of the daily workflow.
Additionally, the Admin Executive will provide administrative support to the HR/Admin team, assisting with onboarding logistics and documentation. Upholding confidentiality, accuracy, and efficiency across all administrative processes is a fundamental expectation of this role.
Required Qualifications
Candidates should hold a Bachelor’s degree or an equivalent qualification. A minimum of 2 to 4 years of experience in a front desk or administrative role is preferred. Strong verbal and written communication skills are essential for effective interaction with internal and external stakeholders.
Proficiency in MS Office applications, including Word, Excel, and Outlook, is required to manage documentation and reporting tasks efficiently. Excellent organizational skills and the ability to multitask effectively are critical to handle the diverse responsibilities of this position.
Familiarity with vehicle management, fuel tracking, and basic financial reporting will be advantageous. The ideal candidate will demonstrate a high level of integrity, reliability, and professional conduct, contributing positively to the company culture.
