Job Summary
Allmed Group of Companies is looking for a dedicated and detail-oriented Operations Coordinator to join our Operations Department at the Head Office. This pivotal role ensures smooth coordination between the Sales and Operations teams, focusing on comprehensive contract management, vendor relations, and regulatory compliance. The successful candidate will be responsible for managing documentation, overseeing contract execution, and maintaining adherence to various regulatory authorities. Strong organizational skills and the ability to manage multiple tasks simultaneously are essential for success in this role.

Key Responsibilities
The Operations Coordinator will serve as the primary liaison between Sales and Operations departments to ensure all contract requirements are met efficiently. This includes compiling necessary documentation and preparing detailed summaries for stakeholder review and approval. The role involves preparing and submitting contracts according to customer specifications, maintaining acknowledgment records, and acting as the custodian of all contract-related documents.

Managing all contract correspondence is a critical function, along with maintaining detailed logs related to order fulfillment, contract execution, and payment processing. The coordinator will also be responsible for issuing official letterheads to branches and keeping accurate distribution records.

Additional duties include handling documentation for delivery extensions, billing, and the submission and release of bank guarantees (BG/APG), while maintaining DGDP BG logs. The role requires collecting and maintaining installation reports, CRVs, I-Notes, joint inspection reports, and acceptance certificates from both government and private institutions.

Maintaining agency and distribution agreements, along with authorization letters attested by relevant authorities, is essential. This requires close coordination with both Sales and Operations teams. The coordinator will oversee e-tendering processes, procurement registrations, and act as custodian for all related credentials.

Vendor management responsibilities include handling registration and prequalification processes, conducting verification, managing security clearances, and coordinating physical audits. Ensuring timely registrations and renewals with regulatory bodies such as PNRA, PEC, FFH, PTCs, KCCI, HDAP, PDBC, and compliance with ISO standards (9001:2015, 13485:2016) is also a key part of the role.

Finally, the Operations Coordinator will maintain official letter logs and assign reference numbers to all staff correspondence to ensure proper tracking and documentation.

Required Qualifications
Candidates must hold a Bachelor’s degree in Business Administration, Supply Chain Management, Bio Medical Engineering, or a related field. A minimum of two years’ experience in operations coordination or contract management is required. Proficiency in MS Office applications and familiarity with tendering platforms are essential.

Strong documentation, communication, and organizational skills are critical, along with the ability to coordinate professionally with both government and private institutions.

Job Type and Compensation
This is a full-time position based at the Head Office. The salary range for this role is Rs60,000 to Rs100,000 per month, reflecting the candidate’s experience and qualifications.
