Job Summary
We are seeking a highly organized and detail-oriented professional to manage communications and coordination between government agencies and corporate clients, supporting tender processes and corporate travel arrangements. The ideal candidate will play a crucial role in ensuring accurate record-keeping, timely submission of tender documents, and seamless travel logistics for executives. This position demands excellent multitasking abilities and strong organizational skills to thrive in a fast-paced and dynamic environment.

Key Responsibilities
- Serve as the primary liaison between government bodies and corporate clients to clarify tender requirements, respond to inquiries, and conduct necessary follow-ups to ensure smooth communication.
- Maintain and regularly update a comprehensive database that tracks all tender activities, including bids submitted, contracts awarded, and pending responses, ensuring transparency and easy access to information.
- Oversee the preparation and timely submission of all tender documentation, managing related correspondence and ensuring compliance with deadlines and procedural requirements.
- Plan and coordinate local and international travel arrangements for executives, including booking flights, accommodations, visa processing, and ground transportation to guarantee efficient and hassle-free travel experiences.
- Keep meticulous records of travel approvals and expense reports, ensuring adherence to the company’s travel policies and financial controls.
- Collaborate with travel agents, airlines, and embassies to manage bookings, cancellations, and address any special travel needs or last-minute changes.
- Organize and maintain all documentation and correspondence related to corporate affairs, tenders, and travel in a systematic and accessible manner to support operational efficiency and audit readiness.

Required Qualifications
- Bachelor’s degree in Business Administration, Public Administration, or a related discipline.
- A minimum of 2 to 3 years of relevant experience in corporate affairs, tender documentation, or travel coordination, demonstrating a track record of managing complex administrative tasks effectively.

This is a full-time, on-site position that requires a proactive and professional individual who can juggle multiple responsibilities while maintaining a high level of accuracy and attention to detail.
