Key Responsibilities

You will be responsible for managing meeting rooms and client suites, ensuring that visitors are greeted warmly by professional, well-presented staff. Maintaining the highest standards of cleanliness and readiness is essential, including conducting pre-meeting checks of equipment and audiovisual/video conferencing systems.

Setting up and resetting meeting, training, and conference rooms according to booking specifications is a core task. This involves coordinating equipment and catering requests with facilities management, catering teams, security, and external vendors.

You will troubleshoot basic technical issues related to AV, VC, and collaboration tools, while managing the meeting room booking system. This includes handling reservations, cancellations, and amendments, and maintaining clear communication with users.

Monitoring consumables and refreshments in meeting rooms, preparing daily visitor arrival lists, encouraging proper booking behavior, and providing utilization reports are also part of your role.

Supporting hospitality and event management is key. You will coordinate event setup and breakdown, supervise venues, conduct risk assessments, liaise with security and housekeeping, and manage food and beverage services for client meetings and events.

Delivering exceptional reception and visitor management services is vital. You will greet guests and staff professionally, maintain reception and waiting areas to high standards, provide information on facilities and events, and manage visitor security protocols.

Proactive premises inspections are expected, including raising work orders for maintenance or cleanliness issues and contributing ideas to enhance reception services.

Welcoming new joiners with orientation tours and materials, briefing visitors on emergency procedures, and maintaining a visible, approachable presence at reception desks are important daily tasks.

Collaboration with colleagues to support a positive workplace culture through clear communication and teamwork is essential.

Required Qualifications

Candidates must hold a minimum graduate degree and be fluent in English, both written and spoken. A passion for delivering excellent customer service and a natural ability to connect with people are crucial.

Strong verbal and written communication skills are required to interact professionally and effectively.

Proficiency in Microsoft Office Suite—including Excel, Word, PowerPoint, Visio, Outlook, Teams, SharePoint, and Access—is essential.

Applicants should have at least three years of experience in hospitality or reception roles, demonstrating high attention to detail, flexibility, and a proactive mindset.

Strong problem-solving skills with the ability to respond quickly and decisively are necessary.

Exceptional organizational and multitasking abilities, excellent time management, and the capacity to work well under pressure and meet tight deadlines are expected.

Candidates must maintain high grooming standards and have a proven track record of achievement.

Being a committed team player who supports colleagues is vital.
