Job Summary
The Associate Office Secretary will provide essential administrative and secretarial support to the CEO’s office, working under the guidance of the Senior Secretary. This role is critical in managing the CEO’s daily schedule, handling correspondence, maintaining organized filing systems, and supporting financial and procurement activities. The ideal candidate will be proactive, detail-oriented, and capable of coordinating multiple tasks to ensure the smooth functioning of the CEO’s office.

Key Responsibilities
The Associate Office Secretary will closely monitor the CEO’s daily appointments, meetings, and engagements, coordinating effectively with the Senior Secretary to keep the schedule up to date. Managing all incoming and outgoing correspondence is a core responsibility, which includes drafting, formatting, and distributing communications in line with the Senior Secretary’s instructions.

Maintaining a well-organized filing system for both physical and electronic documents is essential. The candidate should be comfortable using Management Information Systems (MIS) to ensure documents are easily accessible and properly archived.

A basic understanding of banking procedures and financial terminology is necessary to support various office functions. The role also involves operating SAP software to prepare and process Purchase Requisitions (PRs), Purchase Orders (POs), and Goods Receipts (GRs) related to the CEO office’s expenditures.

Additionally, the Associate Office Secretary will assist in preparing and reconciling expense reports for the CEO’s office, ensuring all financial activities comply with company policies and procedures.

Required Qualifications
Candidates must hold a graduate degree, preferably in Business Administration or a related field. A minimum of 3 to 5 years of experience in a secretarial or administrative role supporting senior executives is required. This experience should demonstrate the ability to manage complex schedules, handle confidential information, and support financial and procurement processes.

Preferred Qualifications and Benefits
Familiarity with Management Information Systems (MIS) and SAP software is essential for this position. Candidates with a basic knowledge of banking and financial processes will have an advantage.
