Job Summary
We are looking for a professional and courteous Female Receptionist to join our team. The successful candidate will manage front desk operations, create a welcoming atmosphere for all visitors, and provide essential administrative support to ensure smooth office functioning. This role demands excellent communication skills, a customer-focused mindset, and the ability to multitask efficiently in a fast-paced environment.
Key Responsibilities
Greeting and Welcoming:
You will be the first point of contact for visitors, guests, and clients, greeting them warmly and professionally. Ensuring a positive and hospitable experience for everyone entering the premises is a top priority.
Administrative Support:
Manage incoming phone calls and inquiries, directing them appropriately within the organization. Handle the distribution of incoming and outgoing correspondence, including emails, letters, and packages. Candidates with digital marketing skills, including digital and graphic design, will have an added advantage.
Scheduling and Coordination:
Organize appointments and meetings, manage conference room bookings, and coordinate with various departments to facilitate smooth communication and workflow.
Information Dissemination:
Provide visitors with relevant information about the organization’s products, services, or events. Respond to general queries and offer basic assistance to guests and callers.
Record Keeping:
Maintain detailed logs of visitors, including their purpose of visit, entry and exit times, and contact information. Keep accurate records of appointments and meetings to support office operations.
Security and Access Control:
Oversee access to the premises by issuing visitor badges and working closely with security personnel to maintain a safe and secure environment.
Customer Service:
Deliver outstanding customer service by promptly addressing inquiries and concerns. Assist in resolving issues or redirect visitors to the appropriate personnel when necessary.
Multitasking and Time Management:
Effectively juggle multiple responsibilities such as answering calls, greeting visitors, and performing administrative tasks. Prioritize duties to ensure the front office runs smoothly.
Communication Skills:
Exhibit strong verbal and written communication skills to interact professionally with a diverse range of individuals.
Professional Appearance:
Maintain a neat, professional appearance that reflects the organization’s standards and enhances its image.
Required Qualifications
- High school diploma or equivalent.
- Proficiency in office software and equipment.
- Strong interpersonal skills with a customer-centric approach.
- Ability to stay composed and handle stressful situations effectively.
- Previous experience in a receptionist or similar administrative role is preferred.
Preferred Qualifications and Benefits
- Knowledge or experience in digital marketing and graphic design is an advantage.
- This is a full-time, in-person position with a monthly salary ranging from Rs35,000 to Rs55,000.
