Export Officer

To manage and oversee the export operations of the organization, ensuring that all shipments are executed in compliance with international trade laws and regulations. The Export Officer coordinates with internal departments and external stakeholders to guarantee the timely and accurate delivery of goods while optimizing operational efficiency and customer satisfaction.

Key Responsibilities

Export Documentation and Compliance

Prepare and verify all export-related documents, including invoices, packing lists, certificates of origin, and bills of lading.
Ensure compliance with international trade regulations, customs requirements, and export controls.
Liaise with government authorities (e.g., Customs, Chamber of Commerce) for certifications, clearances, and approvals.
Monitor trade agreements and tariffs to minimize costs and ensure adherence to trade policies.

Shipment Coordination

Coordinate with freight forwarders, shipping lines, and logistics providers to ensure timely and cost-effective shipment of goods.
Monitor shipment schedules, track consignments, and address any delays or issues.
Verify the correctness of shipping documents and provide updates to customers and stakeholders.

Customer and Stakeholder Management

Maintain communication with international clients to confirm order details, shipment schedules, and documentation requirements.
Address client queries and resolve export-related disputes or discrepancies promptly.
Work closely with internal teams, including production, quality control, and finance, to ensure export processes align with organizational goals.

Inventory and Record Management

Maintain accurate records of all export transactions, including documentation, correspondence, and payment confirmations.
Oversee the preparation of monthly and quarterly export reports for management review.
Monitor inventory levels to ensure product availability for export orders.

Market Research and Strategy

Conduct research on international markets to identify new export opportunities.
Stay updated on trends in global trade, shipping routes, and industry standards.
Assist in developing and executing strategies to enhance the company’s export portfolio.

Key Skills and Competencies

Knowledge of international shipping, INCOTERMS, and customs clearance processes.
